Office of Research Misconduct Proceedings Update
Q: How does the increase use of AI effect this policy?
A: The increase in use of AI does not directly affect Executive Order 61. The use of AI itself does not constitute research misconduct. However, if AI is used in the falsification, fabrication, or plagiarism in proposing, performing, or reviewing research, or in reporting research results, then it would fall under this policy.

SAGE Update
Q1: What do we do if we don’t receive a completed new line renewal before the end date of the award?
A1: The setup of required award lines can sometimes occur late for a variety of reasons. Examples include delays in award/modification execution, SAGE items that are returned to campus for required updates/clarification, and GCA processing delays. If GCA sets up an award line late, they will leave a note in the SAGE item about upcoming deliverable due dates. Additionally, if there is a tight turnaround for a final deliverable (e.g. a final invoice or final report) the GCA Award Setup Team will notify the appropriate GCA Teams so they are aware, can begin their reconciliation, and, if necessary, communicate with campus contacts. If a campus unit requires additional time to reconcile and post transactions for a final deliverable, GCA recommends contacting your sponsor to request a revised deliverable due date. GCA also recommends contacting them via Award Portal to indicate more time is needed so award line lifecycle statuses can be updated to allow expenditures to post and the appropriate GCA Teams can be notified about the delay.
Q2: Will the modification integration pull data from workday so that the budget can pull the existing grants lines to modify?
A2: Yes, SAGE will put in available Workday line & grant details to support matching of worksheets to existing lines/grants, and facilitate smooth integration. This will fall into the 2nd MOD release however. (Jan target)
Award Closeout Update and Resources
Q1: Please share the link to the encumbrance liquidation form.
A1: The encumbrance liquidation request form can be found at the top of the Changing or Close Orders page.
Q2: Is there a report indicating expenditures with Budget Dates outside of Award Period?
A2: The Workday “Cost Reimbursable Line Status Report” can be used to identify expenditures that are “Pending Award Line Date Review”. This GCA webpage on the Workday Cost Reimbursable Line Status Report gives information about the report and some tips. One key recommendation is to review and take action on expenses in “Pending Award Line Date Review” status given that these cannot be brought into the Workday Cost Reimbursable billing engine and billed on a sponsor invoice. Please note that this report is used specifically for cost reimbursable awards, so installment, Letter of Credit, or award billed via OnCore or Manual Invoicing: Department Invoicing awards cannot use this report to see expenses outside award line dates.
Q3: Can you tell us what OnCore is?
A3: OnCore Clinical Trial Management System (CTMS) is a system used for clinical trials for sponsor invoicing, among other functions.
