Transfers of IRB Oversight and PI Institutional Employment Changes

New Guidance

When a Principal Investigator’s (PI) employment moves from one institution to another, that often means a transfer of research oversight from one IRB to another. HSD has recently published guidance for what to do when a PI joins or leaves the UW and considerations for transferring a study (or studies) from one IRB to another. This guidance supplements the Office of Research’s information for investigators joining UW from another institution.

Transferring studies from one IRB to another can take from several months to a year, depending on the size and complexity of the research portfolio. HSD strongly recommends that transferring PIs and their departments consult our guidance and begin planning as soon as possible.

For more information or to set up a planning meeting for a study transfer, contact HSD’s Reliance Team at hsdrely@uw.edu.

UW Medicine Security Review Requirement for Research using Machine Learning

Update

In our July Newsletter, HSD announced a new UW Medicine security review requirement for research involving the use of UW Medicine patient data ( whether identified or de-identified) for machine learning outside of UW IT systems. UW Medicine has developed a new intake process for the security review and a UW Medicine workgroup has been charged with developing an institutional approach for the responsible use of large language models (“LLM Workgroup”).

How to obtain a security review. Complete the Honest Broker Intake Process. Once submitted, this will initiate a swift security risk assessment by the combined teams of UW Medicine Information Technology Services (ITS), Research IT, and Enterprise Records & Health Information (ERHI).

The intake form responses may be shared with the LLM Workgroup, to aid them in advising on the development of an institutional approach including, but not limited to, policy and procedures, guidance and governance.

For questions about the LLM Workgroup, contact UW Medicine Research IT at ritdatahelp@uw.edu.

For questions about the security review, contact Sally Beahan, Senior Director, UW Medicine Enterprise Records & Health Information at sbeahan@uw.edu.

New Community-Engaged and Community-Based Participatory Research Course

Now Available Through the CITI Program

HSD now offers an optional training course on Community-Engaged Research (CEnR) and Community-Based Participatory Research (CBPR) through the CITI Program. This course introduces learners to CEnR and CBPR and identifies the ethical and practical considerations particular to the design, review, and conduct of CEnR. This course does not fulfill the human subjects training requirement that funding agencies like NIH expect and should be considered an optional add-on training.

The course is free if you are affiliated with UW or collaborating with someone who is affiliated with UW. See the Web Based CITI Training page for more information on registering for CITI courses.
