Process to Request Reappointment for a UW Faculty with a UW/PNNL Dual Appointment

Process for Requesting Approval for Reappointment

Guiding Principle: UW/PNNL Dual Appointments are five-year terms that automatically sunset unless a timely renewal is initiated by the appointee and department chair, with concurrence by PNNL collaborators.

The Office of Research will initiate the reappointment process, which should be completed within three months or the dual appointment will terminate.

  • Three months prior to the termination date, the Office of Research will notify the appropriate UW department chair and UW Faculty dual appointee to assess their interest in pursuing a reappointment, copying the UW PNNL Liaison. If no mutual interest, please notify us and you will be removed from our Dual Appointee lists in three months.
  • If interested in reappointment, the dual appointee will confirm that they have discussed a renewal plan with their PNNL contacts and received PNNL support. The department chair will send an email to confirm the request for reappointment to the Office of Research contact and to the UW’s Liaison to PNNL.
  • The UW PNNL Liaison will contact the associated PNNL contact to notify them of the intent to reinitiate the reappointment process for the applicant.
  • The faculty member will then be contacted by the Office of Research to process the reappointment.
  • If the reappointment is not approved, the UW PNNL Liaison will contact the dual appointee, department chair, the unit administrator, the Office of Sponsored Programs (OSP), and all associated PNNL contacts.

Process for Routing Request Form and CV

The Office of Research will contact the dual appointee and their department chair via email with the required form and process. The UW PNNL Liaison will be copied on all communication.

Request Form from the Office of Research

Dear [faculty name] and [department chair’s name]:

I am writing to you as a UW/PNNL Dual Appointee and the chair/director of department/school [appropriate manager for dual appointee]. Your Dual Appointment term ended/ends on [add term end date]. We ask that the two of you discuss the value you have derived from this appointment and plan for the next five-year term if a reappointment is deemed desirable.

The reappointment process is as follows:

  1. Confirm with me you intend to pursue reappointment and your PNNL contacts that support your reappointment.
  2. Complete the form, “UW Dual appointment of UW faculty with PNNL: Request for Reappointment.”
  3. Submit a short CV.
  4. Email both documents to the Office of Research contact.

Note that for overdue reappointments, we will continue to honor the existing Dual Appointment terms for three months after this notice, giving you time to initiate this reappointment process. I look forward to assisting you in this process.

Routing and Signoff

Once the faculty submits the form, “UW Dual appointment of UW faculty with PNNL: Request for Reappointment” and the CV, the form will be routed for approval and signature as follows:

  • Department chair
  • UW Vice Provost for Research
  • PNNL Deputy Director for Science and Technology
  • UW/PNNL Dual Appointee

After all approvals are collected via email), a copy of the form, “UW Dual appointment of UW faculty with PNNL: Request for Reappointment” will be sent with confirmation to the department chair, the Vice Provost for Research, the PNNL Deputy Director for Science and Technology, the UW Liaison to PNNL, the Director of the Office of Sponsored Programs, and the faculty of record. The effective date of the DA appointment is the date of the last signature on the form, “UW Dual appointment of UW faculty with PNNL: Request for Reappointment” (faculty’s acceptance signature).
