YPRS Tutorial: Understanding roles in YPRS

Roles are used within the YPRS to communicate responsibilities among research staff, and to govern access to registration information. Individuals may be listed in multiple roles; it is noted below if roles may not overlap.

Roles in YPRS

  • PROGRAM DIRECTOR: Directs and oversees the youth program and is ultimately responsible for program activities. This role can add, edit, and view all program information in the YPRS. Program directors are automatically designated as authorized personnel and are subject to the requirements for authorized personnel. The program director and department head must be different individuals.
  • DEPARTMENT HEAD: An administrator, director, or head of the department or unit, who has oversight over the program and/or the program director. This role will receive reports regarding program registration and compliance. This role cannot edit or view registration information in the YPRS. The program director and department head must be different individuals.
  • SESSION CONTACT: A primary contact for the session. Individuals listed as session contacts may also be program directors. The person who submits the registration form is automatically designated as a session contact. This role can add, edit, and view all program information in the YPRS. 
  • PROCARD HOLDER: The person whose University Procard will be used to pay for any background screening costs for affiliated authorized personnel. This role cannot edit or view registration information in the YPRS.
  • AUTHORIZED PERSONNEL: Program staff or volunteers who will perform roles involving interaction with youth; will supervise, chaperone, or caregive for youth; or will have unsupervised access to youth. See a full definition online. At least one individual must be designated as authorized personnel for each registered session. Program directors are automatically designated as authorized personnel. Authorized personnel will receive messages about and can view their own compliance status in the YPRS, but cannot edit or view overall program or session registration information in the YPRS.
  • OTHER PERSONNEL: Program staff or volunteers who will not interact with youth; will not supervise, chaperone, or caregive for youth; and will not have unsupervised access to youth. Examples include guest lecturers, volunteers who are always supervised by authorized personnel, or others with no potential to be alone with youth. This role cannot view or edit registration information in the YPRS.

  • STUDY CONTACT: A primary contact for the study. Individuals listed as study contacts may also be principal investigators.  The person who submits the registration form is automatically designated as a study contact. This role can add, edit, and view all program information in the registration system. 
  • LEAD INVESTIGATOR: Directs and oversees the study and is ultimately responsible for study activities. (For IRB-approved studies, this should match the PI indicated in Zipline.) This role can add, edit, and view all program information in the registration system. Principal investigators are automatically designated as authorized personnel and are subject to the requirements for authorized personnel. The principal investigator and department head must be different individuals.
  • DEPARTMENT HEAD: An administrator, director, or head of the sponsoring department, who has oversight over the study and/or principal investigator. This role will receive reports regarding study registration and compliance. This role cannot edit or view registration information in the YPRS. The principal investigator and department head must be different individuals.

  • OTHER PERSONNEL: Study staff or volunteers who are involved in research protocols but will not interact with youth; will not supervise, chaperone, or caregive for youth; and will not have unsupervised access to youth. Examples include data analysts or transcriptionists. This role cannot view or edit registration information in the YPRS.

UW REPRESENTATIVE: A representative of the department hosting the third party youth program while on campus. The person who submits a third party registration form is automatically designated as a UW representative. This role can add, edit, and view registration information in the YPRS.
