Preparatory Steps to reduce risk by attributes of a location

Instructions

1. Review the location-related characteristics in the tabs below by clicking on each bolded tab on the left side.
2. Disregard any tabs referencing characteristics not present in your program.
3. Implement the necessary preparatory steps in each remaining box.

  • Update emergency response template specific to each program location. Ensure information is accessible to staff.
  • Require staff to carry a working cell phone. Consider pre-programming relevant phone numbers (e.g., program in-office contact, UWPD) into the phone.
  • Conduct environmental assessment to identify risks
  • Include possible exposure to identified allergens on Acknowledgement of Risk form
  • Collect and retain participant allergy information. Ensure information is accessible to staff. (See Step 1.6 & 1.8)
  • Train staff in any medical surveillance or interventions to manage allergies (See Step 1.4)
  • Conduct environmental assessment to identify risks
  • Include possible exposure to identified pollutants on Acknowledgement of Risk form
  • Include possible exposure to weather or poor air quality on Acknowledgement of Risk form
  • Monitor weather and air quality regularly (e.g., daily)
  • Establish and communicate guidelines and timelines for cancellation or location changes prompted by weather/air quality
  • Establish and communicate minimum supplies (e.g., rain jacket, sun hat) youth should bring to program activities.
  • Provide back-ups or options for those unable to provide supplies.
  • Establish a back-up plan for extreme weather or poor air quality

  • Include transportation as a program activity on Acknowledgement of Risk form
  • Ensure vehicles have proper safety equipment for the age group and size of youth you are transporting
  • Orient youth to the environment and prohibited areas and behaviors. Consider using a conduct code to solicit agreement.
  • Consider notifying an in-office contact at points of departure and arrival to allow tracking of movement
  • Include exposure to moving vehicles and traffic on Acknowledgement of Risk form
  • Ensure adequate supervision
  • Plan routes/travel to avoid or minimize these hazards
  • Orient youth to the environment and prohibited areas and behaviors. Consider using a conduct code to solicit agreement.
  • Include increased distance from EMS on Acknowledgement of Risk form
  • Consider the possibility that your staff will be first responders in any emergency. Reevaluate what training and other resources are needed for them to adequately perform these duties. See Step 1.4.
  • Stock and carry an expanded first aid kit with supplies appropriate to the possible health and basic needs of your group
  • Include possible limited/unreliable communication on Acknowledgement of Risk form
  • To the extent possible, research cell/phone service in the location(s). Compare your findings with your available resources.
  • Consider a satellite phone for truly remote locations
  • Establish a check-in process and timeline with an in-office contact
  • Consider the possibility that your staff will be first responders in any emergency. Reevaluate what training and other resources are needed for them to adequately perform these duties.
  • Stock and carry an expanded first aid kit with supplies appropriate to the possible health and basic needs of your group
