The Office of the Youth Protection Coordinator (OYPC) recommends these strategies to help units meet APS 10.13 Requirements for University and Third Party Led Youth Programs.
Set Clear Expectations
- Prioritize compliance with APS 10.13 across all activities and research involving youth.
- Require youth activities and research to register in YPRS at least 30 days before start dates.
- Communicate that authorized personnel cannot have unsupervised access to youth until all required steps are complete.
Promote Awareness
- Share OYPC compliance tips from the APS 10.13 Policy Resource Guide.
- Encourage attendance at OYPC convenings for best practices.
- Highlight compliance successes in departmental communications.
- Send periodic APS 10.13 reminders through existing department-wide channels.
Monitor Compliance
- Assign roles responsible for ongoing YPRS monitoring.
- Review unit compliance monthly in YPRS.
- Develop a unit-wide compliance monitoring plan.
Integrate into HR Processes
- Include youth protection requirements in hiring, onboarding, and position reviews.
- Assess roles for likelihood of youth engagement or research involving youth as human subjects.
- Complete background checks for faculty serving in security/safety sensitive roles.
- Complete background checks for new employees, student employees, and volunteers before start dates.
- Provide links for required training and conduct code signing during onboarding.
- Allow time for personnel to finish all APS 10.13 required steps before working with youth.
Designate a Compliance Champion
- Appoint an administrative leader as the APS 10.13 Youth Protection Champion.
- Work with OYPC to create a roadmap for unit compliance success.
