Worksheet Navigation Tabs

The budget worksheet displays line items and period totals for each budget line. The name of the budget and its reference number display above the worksheet navigation tabs.

Tabs

  • Worksheet: Displays the Budget Worksheet page
  • Sub Budgets: Displays the Sub Budgets page
  • Properties: Displays the page with the Budget Properties, Global Attributes and Advanced Settings sections (step 1 of the budget creation wizard)
  • Periods: Displays the page with the Periods sections (step 2 of the creation wizard)
  • F&A: Displays the page with the Funding Details and F&A Rates and Base sections (step 3 of the creation wizard)
  • Assign Access: Displays the page with the Contacts and Access sections (step 4 of the creation wizard)
  • Targets & Limits: Displays the page with the Targets & Limits Settings; this tab only appears if you chose this option on the Properties page. It would be step 5 of the creation wizard.
  • History: Displays the page with the Budget History; if you linked an eGC1 to the budget, information about it would also appear here.

Worksheet Icons on the Action Bar

At the upper right area of the worksheet is a set of icons. Placing your mouse pointer over an icon will display its function. For full details on each of these icons, see the Worksheet Actions article.

Worksheet Details Overview

Click on any object code summary line to display any existing sub-object line items.

The column entry for one period, for a specific sub-object code line item, shows the total calculated in the item-entry screen(s). The column entry for one period, for an object code summary line, shows the total of all its sub-object code line items for that period. An entry in the “Summary ($)” column (at the far right), for an object code summary line, shows the total of all the periods for that line. At the bottom of the worksheet are column totals for several categories of costs.

In the Salary and Wages section, added personnel will have corresponding entries in the Retirement and Benefits section. Student Aid line items are automatically added when you add an individual to the Salaries and Wages section with a UW sub-object code of: 01-33, 01-34, 01-43, 01-44, 01-51 to 01-54, or 01-91 to 01-94.

Description column

This lists the budget lines, which are categorized into 11 summary sections, derived from actual UW Object Codes. Click on a summary line to display its sub-object codes, or hide them. The current object codes included are:

  • (01) Salaries and Wages
  • (02) Service Contracts
  • (03) Other Contractual Services
  • (04) Travel
  • (05) Supplies and Materials
  • (06) Equipment
  • (07) Retirement and Benefits
  • (08) Student Aid
  • (10) Capital Projects
  • (38) Unallocated
  • (19) APL

Note: SAGE Budget does not include all UW Object Codes.

Target Amount

This line displays only when you have the Targets and Limits feature enabled. It displays the target amount you have established for each period of your budget. This amount is not included in your budget totals.

Target Difference

This line displays only when you have the Targets & Limits feature enabled. The Target Difference is the difference between the target amount you have established for each period of your budget and your budget total. When your budget exceeds the target amount, the target difference displays in red text. When your budget is less than your target amount, the target difference displays in black text.

The Target Difference is not included in your budget totals.

Summary and period columns

The summary column values are the sum of all line items (sub-object codes) set up within the summary line’s section.

Each budget column represents one period. The periods are defined in step 2 of the setup.

The Access tab lists the individuals who have access to view and/or edit the budget.

Budget Preparer and Contacts

The initial Budget Preparer is the person who created the budget. The preparer could change over time.

An Administrative Contact and a Pre-Award Budget Contact are additional individuals who can edit the budget or answer questions about it.

Note: When a budget is connected to an eGC1, the contacts and preparer information will be shared, as described in SAGE Budget and eGC1 Shared Access Data. An eGC1 Preparer will display.

The following information displays for the preparer(s) and contacts.

  • Name: First and last name and Employee Identification Number.
  • Selected Unit: Name and organization code number of the selected business unit.
  • Title
  • Phone
  • Email

The Access section lists all users with access to the budget, and indicates the Permission Type and Reason for the access. Read the article on SAGE Budget and eGC1 Shared Access Data if you will be linking your budget to an eGC1.

The preparer (creator) and both contacts have the permission type of Owner with the role as the reason. You cannot change or give the Owner permission type to any other users. The person designated as the PI on a budget does not have owner permission by default.

Access List

Other individuals who have access to the budget are listed in the section, in addition to the preparer(s) and contacts.

The values listed are Name, Permission Type, and Reason.

Permission types are:

  • Owner for the preparer(s) and Contacts, and the PI of a connected eGC1
  • Read Only for added users, which allows them to view the contents, but not make any changes.
  • Read Write for added users, which allows them to view and edit the contents.

Access Tab

Access Permission on Copied Budgets

Note: When you copy a budget, the individuals on the access list of the original budget are copied to the new budget. The person who creates the copy becomes the Budget Preparer of the new (copied) budget. The Budget Preparer of the original will have Read-Only access to the copy.

The following articles are for the “legacy” format budgets. These budgets, for the most part, were converted to the current format on January 28, 2022.

The (08) Tuition and Fees line is used for tuition costs.

Line Setup

The Setup modal displays the Description. The specific sub-object code for Tuition and Fees (08-05) will have automatically pre-populated.

The Cascade Entries checkbox will be checked if “Cascade entries on non-salary items” was selected.

Any Notes associated with this line item will display.

Update Periods

Values entered for the Description and the UW Sub-Object Code display for reference.

The name of the period and its date range will display at the top of the period column.

The following values display for each period:

  • Academic Quarter Tuition Rate
  • Number of Academic Quarters
  • Academic Tuition Amount
  • Summer Quarter Tuition Amount
  • Increase % (Academic & Summer)
  • Total Tuition

The overall total for the line item displays in the Summary ($) column at the far right.

The (19) APL line item is used for expenditures related to the Applied Physics Lab (APL).

The name of the period and its date range will display at the top of the period column.

The Prorated Direct Costs line item (19-10) appears on the budget worksheet if the box for Budget includes Applied Physics Lab (APL) on the Properties Tab was checked.

The current PDC Rate displays when its box is checked. The value for each period on the worksheet is equal to the PDC rate multiplied by the total amount for Salaries less any amount for Sea Pay. These values are read-only.

For 19-00 (Dept. Admin. Overhead) and 19-20 (Accrued VAC/SL) lines, the total amount for each period will display.

Note: the (19-40) Department Fixed Fee line appears as the last line item of the budget if the box for Budget includes Fixed Fee on the Properties Tab was checked. The default rate is used to determine the Fixed Fee Value (FFV), which is equal to the Fixed Fee Rate (FFR) multiplied by the sum of the Facilities and Administrative Costs (F&A) and the Total Direct Costs (TDC).

FFV = FFR * (F&A + TDC)

The FFV is then added to the sum of the TDC and F&A to calculate the Total Project Cost (TPC).

TPC = FFV + F&A + TDC

The (08-02) Stipends line is used for student stipend costs. Stipends are not associated with a specific student.

Update Periods

Values entered for the Description and the UW Sub-Object Code display for reference.

The following values display for each period:

  • Number of Stipends
  • Stipend Amount
  • SubTotal
  • Increase (%)
  • Period Inflation
  • Total

The calculations are:

  • Period Subtotal = Number of Stipends times Stipend Amount
  • Total = Period Subtotal plus (General Inflation Rate (%) times Period Subtotal)

The (38) Unallocated line item is used for any expense not covered by the other codes in the budget.

Update Periods

The Description displays for reference.

The name of the period and its date range will display at the top of the period column.

  • Amount
  • General Inflation Rate (%)
  • Period Inflation
  • Total

The overall total for the line item displays in the Summary ($) column at the far right.

The (10) Capital Projects line item is used for costs for the design and construction of buildings. These expenses include land acquisition, design, project management, and site work. They also include art work, fixed equipment, and furnishings.

The  (03) Other Contractual Services line is used for consultant travel, freight charges, or membership dues.
