Use an accessibility checker

  • Open Review > Check Accessibility to identify potential accessibility barriers and receive improvement suggestions.
  • Accessibility Checkers review content and flag accessibility issues with suggested fixes.

Add meaningful hyperlink text

  • Use meaningful link text instead of long alphanumeric URLs.
  • Avoid vague directives like “click here” or “learn more.”
  • Include full title of destination page when possible.

Add alternative text (or alt text) to visuals

  • Apply to pictures, charts, SmartArt, shapes, and embedded objects.
  • Describe key details of the image content and purpose in clear, concise terms.
  • Avoid repeating surrounding text, using file names, or using phrases like “image of.”

Use simple table structure

  • If tables are necessary, avoid fixed widths and ensure mobile compatibility.
  • Avoid nested tables, merged cells, or blank cells that confuse navigation.
  • When possible, consider using formatted lists for simple data instead of tables.

Document heading styles

  • Apply Heading styles in logical order (H1, H2, H3).
  • Create short, descriptive heading text that explains document sections.
  • Organize content into small chunks under each heading.
