The advanced search allows you to enter one or more criteria to find eGC1s. More specific searches will return fewer results.

You may search all eGC1s or limit your search to just the eGC1s that you have authorized access to.

Search Criteria

Select Search to display all matching results beneath the search criteria. To open an eGC1 that you have access to, select its number. To open its Approval Graph (for Routing, In OSP, Approved, Awarded), select the Status value.

You can sort the results by any one column by selecting that column’s title. Clicking once will sort the list in descending order; clicking again will reverse the order.

Search Field Description
eGC1 Number Enter the entire eGC1 number with or without the preceding “A”.
Short Title Enter any of the words or string of letters contained in the Short Title. You must enter at least 3 characters.
Full Application Title Enter any of the words or string of letters contained in the Full Application Title. You must enter at least 3 characters.
PI Name Enter the last name, last name plus first initial, or last name plus first name. For example Smith; Smith, J; or Smith, John. You must enter at least 2 characters.
Personnel Click the Look Up Personnel link, search for and select the desired person. Results will include any eGC1 that has this person listed on the PI & Personnel page.

Once a person has been selected, a Clear link will appear, which will clear the value for the Personnel, Name, and Role Type fields from the search criteria.

Name This read-only field displays after a person is selected, and displays the name of the person selected.
Role Type This drop-down menu appears after a person is selected. It allows you to look for someone in any research role, or in one specific role. The choices are:

  • All
  • Principal Investigator
  • Co-Investigator
  • Key Personnel
  • Fellow
  • Mentor
  • Other
  • Multiple PI
Org Code Receiving Funding Enter a portion or the entire organizational code as listed in the FIN Index. You must enter at least the first three numbers. See the Organization Code article for details. (organization-code-receiving-funding)
Sponsor Name Enter any of the words or string of letters contained in the sponsor name. You must enter at least 3 characters.
Date Created Greater Than Enter a date and the results will be restricted to any eGC1 created after that date. For example, enter 6/1/07 and the results will only display those eGC1s created after that date.
Date Created Less Than Enter a date and the results will be restricted to any eGC1 created before that date. For example, enter 6/1/07 and the results will only display those eGC1s created before that date.
eGC1 status Choose one option from the drop down list. Only eGC1s in the selected status will appear on the display list. For status definitions, see the eGC1 Statuses article. (egc1-statuses)

Search Scope

This field allows you to choose between searching All eGC1s or just the eGC1s to which you have access (My eGC1s only). This can be helpful in finding all of the eGC1s that a particular researcher is associated with, for example.

If you search all eGC1s, the result list will display an icon (red “not” sign) next to those eGC1s you cannot access. If you need access, you can click on the Contacts link in the far right column to see who can provide assistance.

By default, the scope is set to All eGC1s.

Search Results

The results list will include all eGC1s that match your search criteria. You can click on any column heading to sort the results by that column’s values. Click a second time to reverse the order of the sort.

  • OSP Need By Date

Search Criteria

Field Description
Advance Number Enter the entire advance number with or without the preceding “ADV”.
PI Last Name Enter all or the beginning of the last name or the last name plus first initial or the last name plus the first name. For example Smith or Smyt or Smith, J or Smith, John. You must enter a minimum of 2 letters.
Short Title Enter any of the words or string of letters contained in the Short Title. You must enter at least 3 characters.
Budget Number Enter all 6 digits with hyphen (##-####) of the budget number.
Sponsor Name Enter any of the words or string of letters contained in the sponsor name. You must enter at least 2 characters.
eGC1 Number Enter the entire eGC1 number with or without the preceding “A”.
Org Receiving Funds Enter the beginning portion or the entire organizational code as listed in the FIN Index. You must enter at lease the first three numbers.
Item Type Select a type to limit the results.

  • New Advance Budget Number
  • Renewal of a Prior Budget Number
  • Advanced Budget Extension
  • Advanced Budget Supplement

Results List

Once you have entered the search values, click the Search button to display all the matching advance requests. To open an advance request, click on its number.

The Advanced Search link on the My Approvals page displays the search criteria which you can use to find specific eGC1s.

You can search on any single field or a combination of the criteria to locate eGC1s. More specific searches will return fewer results.

Search Field Description
eGC1 number Enter the entire eGC1 number with or without the preceding “A”.
Short Title Enter any of the words or string of letters contained in the title. You must enter at least three characters.
Full Application Title Enter any of the words or string of letters contained in the title. You must enter at least three characters.
PI name (last, first) Enter the last name, or the last name plus first initial, or the last name plus first name. For example: Smith; Smith, J; or Smith, John. You may also enter the beginning of the last name as long as you enter at least two characters.
Org Code Receiving Funding Enter three or more starting digits of the organizational code. See the Organization Code description for information about the codes.
Sponsor Name Enter any of the words, string of letters contained in the sponsor name, or the sponsor’s acronym. You must enter at least two characters.
Date Approved After Enter a valid date (mm/dd/yyyy). For example, enter 6/1/13 to display eGC1s that you approved after that date.
Date Approved Before Enter a valid date (mm/dd/yyyy). For example, enter 6/1/13 to display eGC1s that you approved before that date.
My Approval Status Choose an approval status from the drop-down menu. eGC1s in the selected status will appear on the display list.
eGC1 Status Choose an eGC1 status from the drop-down menu. eGC1s in the selected status will appear on the display list.
Routing Type Choose one option from the drop-down menu. eGC1s with the selected routing type (paper or online) will appear on the display list.

Select Search. All matching results will display below. To view the Approval Flow for a given application, select the eGC1 Number.

New Features

SAGE eGC1 copy feature expanded to copy all sponsor info

As requested by campus in the ORIS Survey, the SAGE eGC1 copy feature will be expanded to also copy the sponsor address and contact information (if the sponsor on the original eGC1 is still active). Users will need to review the information to ensure it is up to date and accurate, but this change should reduce their data entry efforts.

SAGE Search Enhancements: Personnel look up added to eGC1s search

The PI Name field has been replaced with a more general Personnel field which allows users to search for any person listed on the PI & Personnel page. Once they have selected a person, they can refine their search by using the Role Type (Principal Investigator, Fellow, etc.) drop-down menu. They can also combine this search with the new Search Scope feature to find all the eGC1s a researcher is named on.

SAGE Search: Show all results beyond access

Users now have the option of expanding searches to include all eGC1s. The search results will display all eGC1s that match the specified criteria. This enhancement will allow users to more easily find proposals that include personnel they’re responsible for. Previously, search results were limited to only those eGC1s that users could access. They will still only be able to open eGC1s they have access to. However, the research results now display a new column containing a link to the eGC1 contacts so users may contact them to ask questions and/or to request access.

Addition of Seattle Cancer Care Alliance to Locations list

Research administrators for clinical trials have indicated an increase in work performed at the Seattle Cancer Care Alliance, and therefore requested to see this site added to the Locations drop down list in the compliance explanations section (FG-2). They will no longer need to select “other” and manually enter an address for SCCA with this change. SCCA is considered off-campus.

Use this page to search for budgets that you have authorized access to using any combination of the search criteria. More specific searches will return fewer results.

Click the Search button to display all matching results below the criteria section. The number of results will appear at the top right of the list.

If there are more than 10 results, the list will have more than one page.

To open a budget, click on its working title.

Search choices are:

Field Description
Budget Ref # Enter the entire reference number of a specific budget (with or without the “B”).
Working Title Enter any of the words or string of letters contained in the Working Title. You must enter at least 3 characters.
PI Last Name Enter at least the first two characters of the name.
PI First Name Enter at least the first two characters of the name. Use this field when searching for TBD personnel.
Sponsor Name Enter any of the words or string of letters contained in the sponsor name. You must enter at least 2 characters. Optionally, look up the sponsor to fill in the search box.
Org Code Receiving Funds Enter at least the first three numbers of the code. Optionally, look up the organization to fill in the search box.
Date Filter Select the date field to be searched: Last Modified, or Created.
From Enter a valid date (mm/dd/yyyy) and the results will be restricted to any budget modified/created on or after that date.
To Enter a valid date (mm/dd/yyyy)  and the results will be restricted to any budget modified/created before that date.
