This page displays subawards on which you are:

  • Subaward Preparer
  • Financial Contact
  • UW Principal Investigator
  • Assigned Read/Write access

The list displays the subawards from newest to oldest.

You can filter the list based on the status of the overall subaward or the latest subaward request.

You can also search for and view a subaward if:

  • You have assigned Read Only access to the subaward
  • You are an owner (PI, contact, preparer) of the associated Funding Action’s parent eGC1
  • You have assigned read-write or read-only access to that parent eGC1

The fields displayed for each subaward listed are:

Field Description
Subaward Number System-assigned unique number; select to open the subaward
Subrecipient Name Institution receiving the outgoing subaward
Last Request Status Current status of the most recently created request. An arrow icon  arrow icon  appears if the request is in Withdrawn or Returned status.
Subaward Status Current status for the subaward
Subaward Start Date Starting date for the subaward
Subaward End Date Calculated end date of the overall subaward based on all requests in Active or Expired status
Total Subaward Amount Calculated amount of the overall subaward based on all requests in Active or Expired status
UW PI UW Principal Investigator’s Name
Latest PO Number The most recent purchase order number for this subaward request
FA Cost Center ID Organization associated with the award (Funding Action)
Award Number Workday Award Number (AWD-nnnnnn)
eGC1 Number Application associated with the subaward
eGC1 Short Title Associated application’s short title

Filter the list

Use the filter check boxes to limit the list to subawards with the selected statuses. Your list will include any subaward whose latest subaward request status or subaward status matches the selected ones.

The first set of check boxes are for the status of the latest request. By default, the system selects all of these check boxes.

The second set is for the subaward’s status. By default, the system selects just Active and Expired.

You can use the Select All and De-Select All links for each status set to easily adjust your list. Review the Subaward and Subaward Request Statuses article for status definitions.

Use Search to quickly find a subaward. Enter a search term in the text box, use the drop-down menu to include All Subawards or just My Subawards, and then click Search.

You must enter at least one character to search.

The results will include any subaward with a value that matches your search term for these columns:

  • Subaward Number
  • Subrecipient Name
  • Subaward Start and End Date (MM/DD/YYYY)
  • Total Subaward Amount (matches exact amount)
  • UW PI
  • PO Number (only the most recent value is searched)
  • FA Cost Center ID<
  • eGC1 Number
  • eGC1 Short Title

For example, if you search for “555” your results would include Subawards with a Subaward Number of SC555 or SC12555, or an FA Cost Center ID or eGC1 Number that included the value.

The Subaward Number is a clickable link depending on your permissions to access that subaward.

Note: the status check boxes selected also affect the search results.

Select the Clear Search link to refresh the tasklist and display only your subawards.

Create New Subaward

Select the Create New Subaward button, on the upper right of the page, to start the process of creating a new subaward.

New Features

SAGE eGC1s and Approvals Search Enhancements

Users will see a few new search features available to them, on the eGC1 and Approvals task lists.

  • Users will now be able to jump more directly to a particular eGC1 from their My eGC1s or My Approvals pages, using a new eGC1 search field located on the task lists.
  • Users can now search in My Approvals by personnel name. Search results will include all eGC1s for which they are an approver or watcher, where the chosen person is listed on the PI & Personnel page regardless of role type.
  • The PI Name field has been added back to the My eGC1s Advanced Search tool, to allow users to quickly enter all or part of a PI’s name and initiate a search. This feature was removed in January, when the Personnel Search feature was added, but by user request, both fields will now be available for those that like the speed of being able to quickly find eGC1s by PI name.
  • When a user performs an Advanced Search from the My eGC1s task list, they will be able to export their search results to Excel.

Addition of University District Building to Location List

  • The University District Building has been added to the off campus locations list found on the FG-2 compliance explanations section of the eGC1. It will now be easier for eGC1 Preparers to select that building when projects are eligible for the location designation of “off campus”, and will no longer need to enter the location address.

Suppression of HSD JIT and GIM 19 notifications for ATF and Industry Sponsored Clinical Trail eGC1s

  • Human Subjects Just-In-Time email notifications and GIM 19 deadline email notifications will no longer be sent to contacts for eGC1s that are after-the-fact or industry sponsored clinical trials.

Updated handling when users attempt to remove themselves from an eGC1 or Budget

  • When users remove themselves from an eGC1 or budget, they will now receive a warning, alerting them that their access to that eGC1 or budget may be affected. When users remove their last access to an eGC1 or budget, they will now be redirected back to their task list.

New Features

SAGE eGC1 copy feature expanded to copy all sponsor info

As requested by campus in the ORIS Survey, the SAGE eGC1 copy feature will be expanded to also copy the sponsor address and contact information (if the sponsor on the original eGC1 is still active). Users will need to review the information to ensure it is up to date and accurate, but this change should reduce their data entry efforts.

SAGE Search Enhancements: Personnel look up added to eGC1s search

The PI Name field has been replaced with a more general Personnel field which allows users to search for any person listed on the PI & Personnel page. Once they have selected a person, they can refine their search by using the Role Type (Principal Investigator, Fellow, etc.) drop-down menu. They can also combine this search with the new Search Scope feature to find all the eGC1s a researcher is named on.

SAGE Search: Show all results beyond access

Users now have the option of expanding searches to include all eGC1s. The search results will display all eGC1s that match the specified criteria. This enhancement will allow users to more easily find proposals that include personnel they’re responsible for. Previously, search results were limited to only those eGC1s that users could access. They will still only be able to open eGC1s they have access to. However, the research results now display a new column containing a link to the eGC1 contacts so users may contact them to ask questions and/or to request access.

Addition of Seattle Cancer Care Alliance to Locations list

Research administrators for clinical trials have indicated an increase in work performed at the Seattle Cancer Care Alliance, and therefore requested to see this site added to the Locations drop down list in the compliance explanations section (FG-2). They will no longer need to select “other” and manually enter an address for SCCA with this change. SCCA is considered off-campus.
