There are several ways you can filter your tasklist.

Show

You can use this to limit the type of items displayed. Checking the box will include that item type. The system selects all types by default.

Date Created Within 6 Months

When you select this box, your list shows items just recently created. You can uncheck this box to see older items.

Locations

By default, the system selects all locations. If you want to limit your search results to specific locations, uncheck the All Locations check box, then check the desired ones. Checking a team box will include all desks for that team.

Action/Request Types

This defaults to including all action/requests types. If you want to limit your search results to specific types, uncheck the All Action/Requests Types check box, then check the desired ones.

Last Actions

The system selects All Last Actions by default. You can select one or more actions from the list.

With

You can use this drop-down menu to further refine the items you select. The choices are:

  • Budget # – enter 1 or more digits. All items that start with a matching number will display. If you enter 2 or more digits, the system will automatically include the hyphen.
  • Item # – enter the full item number without the alphabetic prefix.
  • PI Last Name – enter 1 or more letters. All items with a PI Name that starts with the entered letters will display.

You can use this to limit the type of items displayed. Checking the box will include that item type. The system selects all types by default. If you deselect all of the boxes, all types display.

Date Created – Within 6 Months

When you select this box, the results include items just recently created. You can uncheck this box to see older items.

Display Items Where – Is

You can use this to further refine the list of items shown. Choose an option from the drop-down menu, then enter a corresponding value in the “Is” box.  The more specific information you enter, the shorter the list will be.

Choices are:

  • Item # – enter the full item number without the alphabetic prefix.
  • Budget # – enter 1 or more digits. All items that start with a matching number will display. If you enter 2 or more digits, the system will automatically include the hyphen.
  • PI Last Name – enter 1 or more letters. The results will include all items with a PI Name that starts with the entered letters.
  • Rec’vd Date (Received Date) – enter in a valid date in the format: mm/dd/yyyy.  The results will include all items received in GCA on that date.
  • Last Action Taken – select a choice from the drop-down menu.
  • Action/Request Type – by default, the results include all types. To limit the types displayed, uncheck the “All” box, then check the desired types. Note: too many type choices may cause a time-out condition.

Each page contains 20 items, and you can move through the pages by clicking on the page numbers displayed below and on the left of the list.

Order of Items: The default order of the items displayed is in reverse chronological order (newest to oldest) based on the date received in GCA. You can change the order by clicking on any column heading. The list will sort in ascending order by that column’s values. If you click the same column heading a second time, the list will sort in descending order by value.

You can only sort by one column at a time.

Buttons: Depending on the item and its status, you may see one of more of the following buttons to the left of the item.

Displays for all items, but depending on the item and its status, it may open a read-only view rather than a read-write view. Read-only cases are:

  • Post-Award Changes (PAC) and Funding Actions (FA) in status Returned by GCA or Processed
  • Advances in Campus Completed status
Receive This displays for Advances that are Campus Completed and allows you to start processing an Advance
Select
Make Inactive Applies to Advances and Other items; deletes the item from the system

Columns: The information displayed for each item listed.

Item # Prefix plus system-generated number. The same number may appear for more than one item type. When combined with the prefix. the full item identifier is unique within the system
Budget # If a budget number has been assigned, it will display
Biennium The biennium in which the budget number was assigned to the item
PI Name The PI’s last and first name separated by a comma
Action/Request Type One or more values selected for the item; the values vary by item type
Amount The dollar amount associated with the item
Rec’vd in GCA The date the item was received in GCA
Last Action Taken The last action that was applied to the item
Status The current status of the item
Location The team and desk or other location that the item is assigned to

Filtered Results List on My Desk Not Clearing Properly

Issue: If the My Desk tasklist is filtered to show items based on Action/Request Type choices, when the Action/Request Type filter is removed, and you click Go to see the new results, you will instead see the previous results list.

Fix: To fully clear the filtering

  • Re-select Action/Request Type from the Display Items Where drop-down menu
  • Click to select All
  • Click Go
  • Change Display Items Where to the blank value
  • Click Go

The resulting list will contain the correct number of results.
