AVST Voicemail

The voice mail system UW Information Technology (UW IT) uses is by Applied Voice & Speech Technologies (AVST).

The AVST Quick Reference summarizes user instructions.

Accessing the AVST Voicemail System

From Your Personal Campus Phone

  1. StepsActions
  2. Dial 7-9898 (HMC NEC users, dial 4-9800)
  3. Enter your security code.
  4. The system will announce the number of messages you have received.

From Any Campus Phone

  1. StepsActions
  2. Dial 7-9898 (HMC NEC users, dial 4-9800)

    Depending on the line you call from, you may be prompted to immediately enter a security code, press [*] to bypass this message.

  3. Listen to introductory prompt.
  4. Press [#].
  5. Enter your 7-digit mailbox number.
  6. Enter your security code.
  7. The system will announce the number of messages you have received.

From an Off-campus Phone

  1. StepsActions
  2. Dial 206-897-9898. (HMC NEC users, dial 206-744-9800)
  3. Listen to introductory prompt.
  4. Press [#].
  5. Enter your 7-digit mailbox number.
  6. Enter your security code.
  7. The system will announce the number of messages you have received.

Setting Up Your Mailbox

Your mailbox must be set up  to enable it.

  1. StepsActions
  2. Access the voicemail system by following the Accessing the AVST Voicemail System instructions in the section above, using the Temporary Security Code: 123456.
  3. Follow the prompts to create a new security code, and then to record your name and greeting.

    Note: All three steps (security code, name and greeting) must be done to complete the setup. When you hear "Congratulations" you have completed the setup.

  4. Listen as the system explains how to find help while in the voicemail system and then plays the Main Subscriber Menu.
  5. To exit the voicemail system, press [*] or hang up.

Reviewing Messages

The voicemail system gives you several options for handling the messages in your mailbox. From the Main Menu, you may:

  • Press [1][1] to Listen to a new message.
  • Press [3][3] to Skip to the end of a message.
  • Press [1][5] to Listen to archived messages.

After reviewing a message, you have the following options:

  • Press [#] to Skip to the next message.
  • Press [4] to Replay.
  • Press [5] to hear Envelope Information.
  • Press [6] to Send a copy.
  • Press [7] to Erase.
  • Press [8] to Reply.
  • Press [9] to Save.

Sending Messages

To send a message to a voicemail subscriber, a distribution list, or a guest mailbox from the Main Menu:

  1. StepsActions
  2. Press [6].
  3. Record your message.
  4. Press either:
    • [#] to Store, or
    • [1] To Replay.
  5. Enter the 7-digit destination mailbox number. If you receive a message that the mailbox does not exist, the recipient may not have set up their voice mailbox or not have a mailbox.
  6. Choose one of the delivery options suggested by the system.
  7. Press [#] to Send.
  8. Repeat steps 4 through 6 for each additional destination.
  9. Press [*] to return to the Main Menu.

Changing Your Greetings

The AVST system provides three choices of greetings: personal, extended absence, and name.

NOTE: If you are assigned an existing voice mailbox, you may need to change both the personal greeting and the name greeting.

Personal Greeting

This allows you to record an everyday greeting, such as "Hello. You've reached First Name, Last Name in the Department. Please leave a message after the tone and I will return your call."

While listening to your greeting, callers can press # to bypass your message. Your greeting will stop and the caller will hear a beep indicating they may begin recording their message. You can include this information in your greeting so they can skip through your recording every time they call.

Change Your Personal Greeting

  1. StepsActions
  2. From the Main Menu, press [4][1][3][2] or [4][4] for quick access ([4][4] does not allow you to replay your greeting).
  3. Record your new personal greeting.
  4. Press:
    • [5] to Store the new greeting,
    • [6] to Replay, or
    • [4] to Re-record.

Extended Absence Greeting

This allows you to record a temporary greeting. Common uses are for temporary absences, i. e. out-of-office for vacations, meetings, and other temporary circumstances. This greeting does not allow callers to bypass this greeting by pressing #.

An extended absence greeting does not replace your personal greeting. When you check your messages, the system will ask if you wish to retain your extended absence greeting. You can choose to retain or delete it. Until you choose to delete it, you will be asked each time you check your messages if you wish to retain or delete it.

Record an Extended Absence Greeting

  1. StepsActions
  2. From the Main Menu press [4][1][3][3] or [4][6] for quick access ([4][6] does not allow you to replay your greeting).
  3. Record your temporary greeting.
  4. Press:
    • [5] to Save the new greeting,
    • [6] to Replay, or
    • [4] to Re-record.

Recorded Name Greeting

When you set up your mailbox, the system asks you to record your name. This is played to identify voice mail messages that you send to other voicemail subscribers (e.g. "this message was sent on [date], by "Recorded Name").

Change Your Recorded Name Greeting

  1. StepsActions
  2. From the Main Menu, press [4][1][5].
  3. Listen to the prompts to record your name.
  4. Press:
    • [5] to Save the new greeting
    • [6] to Replay, or
    • [4] to Re-record.

Exiting the System

After changing or recording your greeting, the system will return you to the Personal Options menu. 

  • Press [*] to exit to the Main Menu or
  • Press [*][*] to exit your mailbox.

Establishing or Changing Your Notification Telephone Number and Schedule

The Notification Schedule feature allows you to instruct the system when and where to call you when there are waiting messages. You may change your schedule(s) at any time.

To Establish or Change Your Notification Schedule

  1. StepsActions
  2. From the Main Menu, press [4][1][1].
  3. The system will let you know if notification is on or off and will report your notification settings. To change your settings, listen carefully to the prompts.

Web Access to Mailbox Features and Functions

Your AVST voice mailbox includes an online tool to manage your voicemail features and functions. This tool is not yet available to UW Medicine users. You may access your mailbox online at:

https://voicemail.tel.washington.edu/

Enter your 7-digit mailbox number and your voicemail security code to login. The CallXpress Web PhoneManager allows you to manage your mailbox settings, such as message notification and greetings.

You may also setup your AVST voice mailbox to send you an email with a copy of the voicemail message as a .wav attachment. *Please note* if you listen to your message via the .wav attachment, the original message remains in your voice mailbox and does not extinguish the message waiting indicator on your phone.

The CallXpress Web PhoneManager is equipped with an online Help tool as well as User Resources. Note: Some of the features or settings covered in the documentation may not be available on our system.
