New Fleet Services Shop Hours

Effective June 1, 2009 the Fleet Services shop will be closing at 9:30 pm : Shop hours effective June 1, 2009 are 6:55am to 9:30pm Monday through Friday.

New Rates Effective July 1

On July 1, 2009, new Fleet Services rates will go into effect. We hope you can take a few minutes to familiarize yourself with the final rates as there are some changes and additions. Faced with a reduced fleet size, we worked hard to limit rate increases in an effort to lessen the impact on departments in the current economic climate.

An overview of the changes and additions to the current rate structure for 2009/2010:

  • The depreciation cycle for all Fleet vehicles will be extended. Hybrids will increase from 7 to 10 years. All other vehicles will increase by one year.
  • The purchase or replacement of new and existing vehicles will be suspended. Any requests must satisfy a pressing business need that cannot be satisfied with a vehicle in the University’s existing fleet.
  • A uniform rate will be applied to both daily and weekly rentals. 
  • Your new 2009/2010 invoice will include separate line items for the following costs: Rental rate, mileage rate, fuel, parking, and insurance.
  • Service fees for University of Washington vehicles that are not covered by a Fleet Services rental agreement will be charged at an hourly labor rate that incorporates overhead costs.
  • External agency rentals will be charged at market cost when there are not enough fleet vehicles to meet customer demand.
  • There are now 14 vehicle price groups. The new price groups are as follows:
    • Heavy Trucks
    • Minivan/Small SUV
    • Hybrid SUV (new)
    • Large SUV
    • 12 Passenger Van
    • Shuttle Van (new )
    • Compact/Sedan
    • Police Sedan (new )
    • Hybrid Sedan
    • Compact/Regular Pick Up
    • Electric Pick Up (new )
    • Mini/Regular Cargo
    • Packer
      14. Bus

12 Passenger Van Training Renewals

In 2007, the State of Washington Office of Financial Management (OFM) issued a revised set of safety requirements for operators of 12-passenger cargo and carry-all vans. In response, Fleet Services launched a Van Operating Training web page with online completion verification.

In accordance with OFM, renewal training must be provided every two years. If you had your initial van training in July 2007, it’s now time to renew your training.

Everyone who has completed van training will be sent a notification email one month prior to the expiration date. A second reminder will also be sent two weeks prior to the expiration. Supervisors will also receive notification.

If you need to review van safety training, you will need to do the following:

Renewal instructions for drivers:

    1. First, review 12 PASSENGER VAN TRAINING FILE .
    2. Second, you must review and sign the two required OFM VAN TRAINING FORMS.
    3. Third Step
      a. Log into Fleet Services ONLINE USER SYSTEM
      1. Select "Update Profile"
      2. Check the box that says "Training Completed"
      3. Select "Save Changes" at the bottom left corner of the screen.
      4. Next, enter the NET ID of your supervisor or administrator
      5. Select "Save Changes" at the bottom left corner of the screen.
      6. Take the two completed and signed OFM Van Training forms to your supervisor or administrator

If you are a supervisor or administrator and need to confirm the van safety training for a driver, you will need to do the following:

Renewal Instructions for Supervisor

  1. First verify with the driver that they have completed the van training and receive both signed OFM forms from the driver
  2. Second Step
    a. Log into Fleet Services ONLINE USER SYSTEM
    1. Select "Driver Maintenance"
    2. Check the box that says "Training Completed"
    3. Select "Save Changes" at the bottom left corner of the screen.

Safety Reminder: Tie Down Straps

Correctly tying down loads not only prevents serious incidents, but it’s required by law. All short-term rental and UCAR pick-up trucks have tie down straps located behind the driver's seat. Tie down nets will be provided for short- or long-term pick-up trucks by request. Stop by the shop or call 206-685-1564 for more information.

Follow these tips from King County Solid Waste Division for securing your load:

  • Tie Down – Tie your load with rope, bungee cords, netting or straps. Tie large items directly to your vehicle.
  • Don't Overload – Keep material level with the truck bed or trailer unless tied down, netted, or tarped.
  • Lighter Goes Lower – Put lighter weight things at the bottom of the load.
  • Consider Covering – Cover your load with a secured tarp or net.
  • Always Double-Check – Make sure your load is secured.

Do your part to make sure no one is injured or killed by unsecured loads:

  • Take the time to secure your load and report people who don't secure theirs.
  • Call 911 if you see a load that is imminently hazardous - like unsecured lumber on a lumber rack or a precariously perched wheel barrow, or if something dangerous has or is about to happen.
  • Call the toll free Litter Hotline at 1-866-LITTER-1 (1-866-548-8371) if you see litter or other small debris come out of a vehicle.

Biennium Closing Information

The following billing information is provided to assist you with the close of the 2007–2009 biennium:

 

  • Fleet Rental and Mileage Charges:
    • Assigned vehicle rental and mileage charges will be posted in June using the most current mileage reading. Vehicles that have not fueled in June should have a current mileage reading reported to Fleet Services by 6/30/2009.
    • Daily and UCAR vehicle rental and mileage charges will be posted in June 2009 for vehicles returned by 6/30/2009.
    • Loaner vehicle mileage charges will be posted in June 2009 for vehicles returned by 6/30/09.
    • Mileage readings for daily vehicle rentals over 30 days long can be updated by refueling or by reporting mileage to Fleet Services before 6/30/2009.
    • Daily and UCAR vehicles on open rentals crossing over 6/30/09 will be billed in the month the vehicle is returned.
  • Outside Rental and Mileage Charges (Enterprise/Croft/Budget Rental):
    • Outside rentals will be posted in June 2009 for vehicles returned by 6/30/2009.
  • Fuel Charges
    • All fuel charges thru 6/30/2009 will be posted in June 09.
    • U-Car fuel charges are included in the rental charge and will post June 09 for all June returns.
  • Recharged Repairs
    • All recharge vehicle repairs completed by 6/30/09 will be posted in June 09.
    • All recharged vehicle repairs not completed by 6/30/09 will be posted in the month the work is completed.
  • Vehicle Cleaning
    • All recharge vehicle cleaning work completed by 6/30/09 will be posted in June 09
  • Billing adjustments or credits received at Fleet Services by 6/30/2009 will be included in June 09.
