Award Modification Request Enhancements

Connect A SAGE Budget to a Modification Request

The SAGE Modification Request (MOD) process now includes the ability to connect a SAGE Budget to a request. Following the release, campus will no longer need to add SAGE Budget snapshot URLs into the comments of a MOD.  

Connecting a SAGE Budget to a MOD will provide campus with a consistent experience between ASRs and MODs, and contribute toward reducing returns. It is also the first step toward enabling future integration of MODs to Workday. With this release, users will be able to:

• Search for budget to connect to the MOD
• Select the periods that apply to the MOD
• See helpful validations and on-screen guidance related to budget requirements

Note that viewing the budget’s worksheet totals, once connected, will come in a follow-on release.

On-screen guidance will link to campus-facing release notes and various sources of ORIS, OSP, and GCA guidance.

Eligible budgets for connecting to a MOD Request include:

• Budgets not connected to an eGC1 
• Budgets not connected to a different award

The same budget may be used for multiple requests under the same award.

Users will also see validations that will guide them on the type of modifications that require budget connection.

eGC1 Non-Fiscal Compliance Question Updates

The eGC1 non-fiscal compliance section will be updated to better support regulatory compliance for federal, state, and/or University policy. The new set of questions below will be applied to any eGC1s that are:

• in an editable state (in Composing, Returned, or Withdrawn status) for campus on or after 5:30 p.m. on December 18 or
• new eGC1s created after December 18.  

Equipment & Materials: Export Controls

The second question (E-2) in this section will be  updated as follows:

• Former Question: Will the project involve the import/export of hardware, equipment, specimens, goods, software or monies?  
• New Question: Will this project involve the sending or taking of hardware, equipment, goods, software, monies, biological or chemical materials out of the U.S.? (excludes UW owned laptops and cell phones)

Data & Technology: Controlled Unclassified Information (CUI)

The first question in this section (D-1) will be updated to include the following checkbox options:

• Former Options:  
  • Propriety Information 
  • Export Controlled/Controlled Unclassified Information 
  • Classified Information 
  • Other Sensitive Information (excludes personal or patient information) 
  • None of the above
• New Options:
  • UW Background Intellectual Property
  • UW Medicine Patient Data
  • Proprietary non-technical information shared with the University of Washington
  • Export controlled/proprietary technical information or source code shared with the University of Washington that is not intended for publication
  • Controlled Unclassified Information (CUI)
  • Federal Contract Information (FCI)
  • Classified information – National Security Information
  • Other sensitive information
  • None of the above

The second question (D-2) will also be updated:

• Former Question: Will the project assist any foreign country’s military or space activities?
• New Question: Does this project or related items have known military/defense or space applications, or will you assist a foreign country’s military or space activities?

The fourth question (D-4) will also be updated:

• Former Question: Will the project involve travel to or collaboration with a person or entity in a sanctioned country (e.g., Cuba, Iran, North Korea, Sudan, Syria)?”
• New Question: Will the project involve travel to or collaboration with a person or entity in a sanctioned country or region? (e.g., Cuba; Iran; North Korea; the following regions of Ukraine:  Crimea, Donetsk, Luhansk)

Accessibility: SAGE Budget Worksheet Project Role Highlighting

When SAGE Budget users tab to the project role field while adding personnel, the field will now be highlighted, which is best practice for accessibility.

Fix: Modification Application Field Not Updating

MOD Requests will now properly save updated Modification Application data when updated or deleted.  

Fix: Award Setup Request Edit Line Details Errors Resolved

The edit line details feature for GCA on Award Setup Requests (ASRs) no longer shows intermittent errors in Workday F&A plan selections when multiple lines/worksheets are present.
