Shaking Up System Complacency With HR/P Modernization

The HR/Payroll Modernization project is the first in a series of enterprise system replacements that will transform the University's business operations. This project will replace UW's aging payroll system with a modern, integrated HR and payroll system, which for the first time will include cross-organizational employee information in a single location. Workday, the new system, will introduce modern business processes and workflow that will support consistent and compliant administration of HR and payroll activities.
Changes Coming
This project will change the way HR and payroll work is performed across the University, how employees access their personal information, and how units access and analyze HR and payroll data. UW leaders are encouraged to actively seek information about these changes and their impacts on their unit processes and systems, and to take action now to prepare in order to minimize impacts during the launch period. To that end, here's an overview of key changes:
- HR/Payroll Processes: The steps involved in completing HR and payroll work across the University will change. For example, Workday will automate requests and approvals, eliminating the need for hard-copy documents to be circulated for review. - Viewing and accessing personal information: Employees will have a single system for employee self-service, time entry, leave requests, and benefits open enrollment (except for Medical Centers employees, who will still use Kronos). Instead of managing multiple logins and permissions, employees will access the system with a single username and password—their UW NetID. View a list of changes that UW employees will experience.
- Accessing and analyzing data: The old ways of viewing and analyzing information will no longer be necessary because of Workday's built-in reporting functionality. This will impact employees with payroll, timekeeping, human resources, and information technology support roles. Additional information and training will be provided specific to employees in these roles in the months prior to Workday's launch on June 16, 2016. Change management staff also will work directly with each unit to provide assistance in identifying unit-specific impacts and efficiencies to be gained.
With the new system, the UW will be able to reduce risks, adopt modern business practices, realize efficiencies, and provide units with better access to information for decision making. Leaders can learn more about the project at MyWorkday.uw.edu.
