Suggested messaging for first reminder, week of 10/15

By now, you’ve likely heard about the University climate survey underway through November 8. I’m writing to our community in the hopes that each one of you will take 20–30 minutes to participate.

To do our best work in serving the public good, our [department/unit/etc.] must be a place where all who study, work and teach can succeed and thrive. We’re committed to creating an equitable environment for everyone — and we know there’s still much to be done. Each person’s feedback helps us better understand what we’re doing well and where we need to improve. Your survey responses will make a real difference. You may skip any question you’re not comfortable answering, and the survey includes a link to resources if you’d like to speak with someone after taking it.

We’re seeking a response rate of at least 30 percent, which will enable us to see a clearer picture of our specific successes and shortcomings. Rankin & Associates Consulting will take multiple precautionary measures to protect individual confidentiality. They will not report any group data for groups of fewer than five individuals, which may be small enough to compromise confidentiality. Instead, Rankin & Associates will combine the groups to eliminate any potential identifiable demographic information. Additionally, any qualitative comments will be separated from demographic information when the survey is submitted.

After results go live in spring 2020, we’ll begin to develop an action plan that advances our shared goal of creating a stronger, fully inclusive [department/unit/community/etc.] and University. Suggested messaging for second reminder, week of 10/29

In less than two weeks, the UW climate survey will close. If you haven’t taken it yet and would like to participate, now’s the time. The UW is [behind/on track to meet/ahead of] our 30 percent response goal, and we want to hear from more of you. The greater the response, the more it helps the UW understand how to improve the climate on our campuses for everyone.

To take the survey, visit yourvoiceyouruw.org. Please encourage anyone you know who hasn’t completed the survey to join us in making the UW a better place. You will receive a final all-campus reminder email from Provost Richards on November 5.
