{"id":65388,"date":"2026-04-17T11:00:36","date_gmt":"2026-04-17T18:00:36","guid":{"rendered":"https:\/\/www.washington.edu\/research\/new-tools\/sage\/egc1-forms\/egc1-cost-sharing-page\/"},"modified":"2026-04-17T11:01:31","modified_gmt":"2026-04-17T18:01:31","slug":"egc1-cost-sharing-page","status":"publish","type":"page","link":"https:\/\/www.washington.edu\/research\/new-tools\/sage\/egc1-forms\/egc1-cost-sharing-page\/","title":{"rendered":"eGC1 Cost Sharing Page"},"content":{"rendered":"<p>Cost\u00a0Share is the portion of a project or program cost that the sponsor does not pay for.\u00a0 It is the University&#8217;s share in the cost of conducting the project\/program.\u00a0 Cost sharing occurs either when a sponsor requires, or the University volunteers in a proposal, funds beyond those awarded by the sponsoring agency to support a particular grant or contract.<\/p>\n<p>These costs are charged to an alternate source (UW or third party). \u00a0You must identify all sources, and they must agree (via the eGC1 approval process) to commit the necessary funds.\u00a0 For more information, review the <a href=\"http:\/\/f2.washington.edu\/fm\/gca\/cost-sharing-overview\" target=\"_blank\" rel=\"noopener noreferrer\">GCA Cost Sharing Page<\/a> or the <a href=\"https:\/\/www.washington.edu\/research\/policies\/gim-21\/\" target=\"_blank\" rel=\"noopener noreferrer\">GIM 21<\/a><a href=\"http:\/\/www.washington.edu\/research\/policies\/gim-21-cost-share-on-sponsored-programs\/\" target=\"_blank\" rel=\"noopener noreferrer\"> Cost Sharing Policy<\/a>.<\/p>\n<p>This page is used to indicate the types and amounts of any cost sharing for this proposal.<\/p>\n<p><strong>Note:<\/strong> When the Fiscal Compliance question F-3 is answered <strong>Yes<\/strong>, then cost sharing information is required and the fields will become editable.<\/p>\n<p><strong>Cost Sharing sections:<\/strong><\/p>\n<ul>\n<li><a href=\"#addendum\">Cost Sharing Addendum Form<\/a><\/li>\n<li><a href=\"#types\">Cost Sharing Types<\/a><\/li>\n<li><a href=\"#personnel\">Personnel Cost Sharing<\/a><\/li>\n<li><a href=\"#other\">UW Cost Sharing (Other)<\/a><\/li>\n<li><a href=\"#third\">Third Party Cost Sharing<\/a><\/li>\n<li><a href=\"#fa-costs\">Unrecovered F&amp;A Costs<\/a><\/li>\n<li><a href=\"#summary\">UW Summary by Unit<\/a><\/li>\n<li><a href=\"#total\">Total Cost Sharing<\/a><\/li>\n<\/ul>\n<h2 id=\"addundum\">Cost Sharing Addendum Form<\/h2>\n<p>Cost sharing occurs when the research grant does not pay for all allowable expenses (personnel, tuition, equipment or services).\u00a0 For detailed information on cost sharing, see the <a href=\"http:\/\/f2.washington.edu\/fm\/gca\/cost-share\" target=\"_blank\" rel=\"noopener\">GCA Cost Sharing Page<\/a> or <a href=\"http:\/\/www.washington.edu\/research\/policies\/gim-21\/\" target=\"_blank\" rel=\"noopener\">GIM 21 Cost Share on Sponsored Programs<\/a>.<\/p>\n<p>When applicable, the PI or department must complete and submit the eGC1\u00a0<a href=\"http:\/\/www.washington.edu\/research\/policies\/gim-21-cost-share-on-sponsored-programs\/\">Cost Sharing Addendum<\/a>\u00a0to OSP at the time of award. If OSP has not received this form before they send the Funding Action to GCA, then GCA will set up the account with restricted 02 status. GCA will block any related advance budget requests.<\/p>\n<h2 id=\"types\">Cost Sharing Types<\/h2>\n<p>Cost sharing occurs when the research grant does not pay for all allowable expenses (personnel, tuition, equipment or services). Because the sponsor does not require this as a condition of the award, the University discourages this type of cost sharing.<\/td>\n<\/tr>\n<tr>\n<td><strong>Explain and justify<\/strong><\/td>\n<td>Enter an explanation for this cost sharing.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<h2 id=\"personnel\">Personnel Cost Sharing<\/h2>\n<p>Personnel cost sharing refers to amounts committed by any UW unit for personnel salaries (plus benefits and Facilities &amp; Administrative costs). This table reflects personnel entered on the Personnel screen.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-11249 size-full\" src=\"https:\/\/www.washington.edu\/research\/wp-content\/uploads\/PersonnelCostSharing.png\" alt=\"Personnel Cost Sharing section\" width=\"636\" height=\"255\" \/><\/p>\n<p>By default, personnel cost sharing is assigned to the individual&#8217;s home or primary department. If the cost sharing source is not the home department, click the <strong>Change the Cost Center?<\/strong> link to identify the correct unit, and provide an explanation in the Additional Information box on the <strong>Certify &amp; Route<\/strong> page.<\/p>\n<p>The information displayed is the person\u2019s name and the Cost Sharing Cost Center ID and Name for the person\u2019s primary department.<\/p>\n<p>Use the <strong>Amount<\/strong> field to enter the dollar amount of the cost sharing for this person, for all budget periods combined. If there is no amount, leave the field blank.<\/p>\n<h2 id=\"other\">UW Cost Sharing (Other)<\/h2>\n<p>UW cost sharing refers to non-personnel (non-salary) and &#8220;TBA&#8221; (to be assigned) Personnel items only. You enter Personnel (salary) cost sharing in the Personnel section.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-11182 size-full\" src=\"https:\/\/www.washington.edu\/research\/wp-content\/uploads\/UWCostSharing.png\" alt=\"UW Cost Sharing section\" width=\"626\" height=\"268\" \/><\/p>\n<h3><strong>Add a Cost Center<\/strong><\/h3>\n<p>Click the <strong>Look Up Cost Center<\/strong> button to open the <a href=\"https:\/\/www.washington.edu\/research\/tools\/sage\/guide\/sage-overview\/common-sage-look-up-tools\/cost-center-chooser\/\">Cost Center Chooser<\/a>\u00a0and search for and select a department or unit. The selected Cost Center ID and Name will display.<\/p>\n<p>Enter a <strong>Description<\/strong> and <strong>Amount<\/strong> for this item (direct costs <em>plus <\/em>the third party&#8217;s F&amp;A costs) for all budget periods combined.<\/p>\n<p>To add another department or unit, click the <strong>Add another Cost Center<\/strong> link.<\/p>\n<h3><strong>Delete a Cost Center<\/strong><\/h3>\n<p>Remove an existing entry by clicking the <strong>Delete<\/strong> link to its right.<\/p>\n<h3>Addendum Form<\/h3>\n<p>In addition to entering cost sharing data on the eGC1, you must complete the <a href=\"http:\/\/www.washington.edu\/research\/myresearch-lifecycle\/plan-and-propose\/budget\/#cs\" target=\"_blank\" rel=\"noopener\">Cost Sharing Addendum form<\/a>\u00a0and submit it to OSP at the time they are reviewing the application.<\/p>\n<h2 id=\"third\">Third Party Cost Sharing<\/h2>\n<p>Third party cost sharing is an amount that a non-UW source has committed. For each contribution, enter appropriate information <em>and <\/em>attach a letter of commitment from the third party source on the <a href=\"attached-documents\">Attached Documents<\/a> page.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-9453\" src=\"https:\/\/www.washington.edu\/research\/wp-content\/uploads\/egc1_third_party_cost_sharing.jpg\" alt=\"e g c 1 third party cost sharing\" width=\"608\" height=\"242\" \/><\/p>\n<p>To add rows, click\u00a0the\u00a0<strong>Add another Contributor\/Subaward Recipient<\/strong>\u00a0link. Add a <strong>Description<\/strong> of the item, and the total dollar <strong>Amount<\/strong> (direct costs\u00a0<em>plus<\/em>\u00a0the third party&#8217;s F&amp;A costs) for all budget periods combined.<\/p>\n<p>To delete an existing entry, click the\u00a0<strong>Delete<\/strong>\u00a0link to right of that entry.<\/p>\n<h2 id=\"fa-costs\">Unrecovered F&amp;A Costs<\/h2>\n<p>Sometimes the University&#8217;s Facilities &amp; Administration (F&amp;A or indirect cost) rate is higher than the rate agreed to on an award. As a result, the University is awarded F&amp;A Costs at lower than the negotiated rate. In this situation, the University ends up with a shortfall called &#8220;unrecovered F&amp;A costs.&#8221; Some sponsors allow this shortfall to be applied as a cost share contribution.<\/p>\n<p>If you are entering unrecovered F&amp;A costs as cost sharing, you must complete the eGC1 <a href=\"http:\/\/www.washington.edu\/research\/myresearch-lifecycle\/plan-and-propose\/budget\/#cs\">Cost Sharing Addendum<\/a> form. On the addendum, be sure to indicate the source of cost sharing as &#8220;unrecovered F&amp;A costs.&#8221;<\/p>\n<p>You may use Unrecovered F&amp;A costs as a source of cost sharing if the sponsor guidelines indicate that &#8220;unrecovered F&amp;A costs&#8221; are a valid cost sharing contribution or if prior sponsor approval is obtained.
