{"id":65259,"date":"2026-04-17T11:00:48","date_gmt":"2026-04-17T18:00:48","guid":{"rendered":"https:\/\/www.washington.edu\/research\/new-tools\/sage\/approvals\/approving-egc1s\/history-comments\/"},"modified":"2026-04-17T11:01:39","modified_gmt":"2026-04-17T18:01:39","slug":"history-comments","status":"publish","type":"page","link":"https:\/\/www.washington.edu\/research\/new-tools\/sage\/approvals\/approving-egc1s\/history-comments\/","title":{"rendered":"History &amp; Comments"},"content":{"rendered":"<p>The History &amp; Comments page provides an overview of all actions related to approvals, from when the application is first routed for approval to when it is approved by OSP, including withdrawals, returns and re-completions.<\/p>\n<p><strong>Note:\u00a0<\/strong>For Grant Runner and Adobe package applications, submission status information is also displayed here.<\/p>\n<p>You can access this page from the Approval Flow (Graphical) page using the left navigation menu. From your eGC1 tasklist, you can select the eGC1 status to open the Approval Flow. From within an eGC1, go to on the Certify &amp; Route page to open the Approval Flow.<\/p>\n<p>In addition to approvals, this page will also show status changes:<\/p>\n<ul>\n<li>From Withdraw or Returned to Permanently Withdrawn<\/li>\n<li>From Approved to Denied by Sponsor<\/li>\n<li>When OSP resets the status<\/li>\n<\/ul>\n<p>This page also displays any comments entered by campus reviewers or OSP when processing the application.<\/p>\n<ul>\n<li>Comments are<strong> optional<\/strong> when:\n<ul>\n<li>A reviewer approves an application<\/li>\n<li>A preparer re-routes an application<\/li>\n<\/ul>\n<\/li>\n<li>Comments are<strong>\u00a0required<\/strong> when:\n<ul>\n<li>A reviewer returns an application<\/li>\n<li>You add or remove an ad hoc approver or watcher<\/li>\n<li>You change a Returned or Withdrawn application to Permanently Withdrawn status<\/li>\n<li>You change an Approved application Denied by Sponsor status<\/li>\n<li>OSP resets the status from Approved to In OSP or from Denied to Approved or to In OSP<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><strong>Note<\/strong>: When adding comments or details to the <strong>Additional Information<\/strong> section on the <strong>Certify &amp; Route<\/strong> page of the eGC1, the system will add them as a Comment upon initial routing of the eGC1. Any edits to this field will not be tracked with an additional comment unless copied into the comments pop-up window upon routing.<\/p>\n<p>For each action taken, the data fields include:<\/p>\n<table class=\"table table-bordered\">\n<tbody>\n<tr>\n<th width=\"20%\">Field<\/th>\n<th width=\"80%\">Description<\/th>\n<\/tr>\n<tr>\n<td><strong>Name<\/strong><\/td>\n<td>The person who executed the action<\/td>\n<\/tr>\n<tr>\n<td><strong>Rule Type<\/strong><\/td>\n<td>The person\u2019s role or relationship to the application<\/td>\n<\/tr>\n<tr>\n<td><strong>Budget Edit Number<\/strong><\/td>\n<td>The version of the connected budget (if any) at the time of the action<\/p>\n<p>For an application with a connected SAGE Budget, the Budget Edit Numbers enable you to track when someone revised a budget and to open versions of the budget at specific points in time. To view a budget as it was when an action was taken, click the Budget Edit Number.\u00a0This will open SAGE Budget in a separate window or tab where you may view all of the budget details.<\/td>\n<\/tr>\n<tr>\n<td><strong>Action Taken<\/strong><\/td>\n<td>The type of action, such as Completed, Withdrawn, Approved, Returned, Added Ad Hoc Approver, etc. If the action is an Approval, there will also be some additional links. Clicking any of the links will open a new window or tab.<\/p>\n<ul>\n<li><strong>Approved Attachments<\/strong> links to the version of the attachments at the time of approval. To open a specific document, click the link. The budget attachments in the <strong>Connected Budget Data<\/strong> section of the eGC1 Attachment page will always have the most up-to-date budget information, so you should review those attachments, if available.<\/li>\n<li><strong>eGC1 Snapshot <\/strong>links to the version (snapshot) of the eGC1 at the time of approval.<\/li>\n<li><strong>Approved Sponsor Forms <\/strong>links to the version of the Grant Runner forms at the time of approval. Only Grant Runner eGC1s will display this link.<\/li>\n<\/ul>\n<\/td>\n<\/tr>\n<tr>\n<td><strong>Date<\/strong><\/td>\n<td>When the action occurred.<\/td>\n<\/tr>\n<tr>\n<td><strong>Comments<\/strong><\/td>\n<td>Any user-entered or system-generated comments.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p>To sort the entries by Rule Type, Action Taken, or Date, click on the column heading (for example: Date). Click again to reverse the sort.<\/p>\n<p>The following images show an example of the History &amp; Comments section, including the Approved Sponsor Forms link for the Grant Runner forms.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-7630\" src=\"https:\/\/www.washington.edu\/research\/wp-content\/uploads\/approvals_history_and_comments.jpg\" alt=\"example history and comments section\" width=\"636\" height=\"563\" \/><\/p>\n<p><strong>Upcoming Approvals<\/strong><\/p>\n<p>The Upcoming Approvals section lists the units or reviewers who have not yet approved (or watched), their approval status, and a link to view the list of authorized reviewers for that unit.
