This section describes when the system-generated email notifications are sent and to whom. There are also samples of each email.

Note: Text that is underlined and in italic represents the values that will be added to a specific email.

 

Disclosure Notification

Purpose: To let the investigator know a disclosure needs to be completed for this eGC1. The email is only sent once to each investigator. At the same time the notification is sent, a pending disclosure is created.
Email is sent when: Send Disclosure Notification button is clicked on the eGC1 PI & Personnel page -OR- eGC1 is completed without the button having been clicked so the twice-daily batch job sends the email.

Annual Disclosure Reminder Letters

There are three versions of reminders: one at 45 days before the deadline, one at 15 days before, and one when the investigator is overdue. Each reminder is sent just once. The third reminder is also cc'd to the PI on any active eGC1 listing the investigator who is overdue. The number of days in the subject line is calculated.

Purpose: To remind the investigator that an annual disclosure is required.
Email is sent when: The latest disclosure completion date is 45 days or fewer from being a year old. A second notice is sent at 15 days (or fewer), and a third notice is sent when the deadline is passed.

In order to meet this requirement, please enter the Financial Interest Disclosure System (FIDS) (http://www.washington.edu/research/tools/systems/fids) to submit an update for review by the Office of Research.

When funding is received by the Office of Sponsored Programs for a project on which you are listed as an Investigator, the status of your SFI update is checked by OSP before allowing the funding to be released to a budget.  A delay in updating your SFI may result in a delay of the availability of funds for the sponsored project.
