Proper naming of Clubs

Registered Student Organization Names:  A registered student organization or Rec Club may use the University name in its title, publications or letterhead to show its status as a registered student organization at UW, but may not use the name in a manner as to create confusion between it as an organization and the University itself, nor in a manner that would in any way constitute an endorsement, approval or underwriting of any organization, product, activity, service or contract by the University of Washington.

The general rule is that the University name cannot precede the name of the student organization.  Examples include:

Permissible:  ABC Club at the University of Washington; ABC Club at UW; ABC Club- UW Chapter

Not Permissible:  University of Washington ABC Club; UW ABC Club; ABC Club of the University of Washington

Designs for new uniforms or equipment

Before design and creation of any type of apparel or equipment which uses a trademarked UW logo, a club officer MUST contact the Rec Clubs Manager to submit a mock-up of the design.  Note: Reimbursements will not be issued for uniforms/apparel not previously approved, and the apparel may be subject to removal from use, by the University.

After approval from the Rec Clubs office, clubs will then be required to complete additional steps with UW Trademarks and Licensing.

All Clubs interested in new uniforms/equipment/apparel which bears any trademarked UW logo, including the ‘W’, MUST get approval from Trademarks and Licensing on:

  • All Products:  All uses of University trademarks on products require prior approval from the UW Trademarks and Licensing office, even if the proposed uses do not involve the sale of a product; i.e. promotional items for conferences or meetings, items for fundraisers, gifts, etc.
  • Promotional Uses:  Any use of the mark in association with outside entities (see Promotional Use Policy).


**Additionally, products bearing UW Trademarks or a specific department logo must be purchased from a licensed manufacturer. Using an officially licensed company ensures that correct product liability insurances and a signed agreement to the UW Code of Conduct are on file. The University has a number of licensees that specialize in working with University programs and departments. Those clubs that sell apparel with a UW logo must also abide by the University’s Royalty policy.  Products, including those products sold to a University-owned entity, are generally subject to royalty fees if a UW trademark is utilized and the product is for resale or the name of a third party is used in conjunction or in association with the trademark. This includes sales to individual customers, sales for fund-raising projects, items carrying a commercial message or sponsor, items used as promotional marketing tools for an event and items given at conferences/workshops/clinics that are part of the registration fee.
