Overview

The University of Washington is a founding partner in the Kuali Student Consortium, an association of leading higher education institutions working together to develop a next-generation student system to significantly improve educational quality and the student experience.

UW-IT Student Information Services (SIS) is governed by academic administration leaders from across the UW’s three campuses. This diagram shows the governance structure within the Student program:

  • The Student Program Sponsors include representatives from the Roadmap Executive Sponsors committee and are responsible for resolving cross program issues and competing priorities.
  • The Student Program Steering committee includes representatives from the Roadmap Oversight Group. This group is actively involved in providing oversight to large Student program initiatives and resolving cross-program issues.
  • The Student Program Core Team prioritizes all Student program efforts on a quarterly basis and raises issues about competing priorities to the steering committee.

UW-IT Information Management works in partnership with the UW administrative community to align UW's information management and administrative systems strategy and application portfolio to support business capabilities within the student administrative domain, including:

  • Student recruitment and admission
  • Curriculum management
  • Enrollment and registration
  • Student financial aid and fiscal accounting
  • Advising

The UW’s changing needs demand that its administrative systems support agility, process efficiency and access to information for decision making. Meeting these demands through a best-in-breed replacement strategy requires architectural guidelines and standards which are emerging through the UW’s Enterprise Architecture efforts. Among the principal guidelines being identified is the need for service-oriented architecture (SOA) to support modularity (needed for agility) and interoperability (needed for seamless integration).

The UW’s student information systems portfolio spans the full spectrum of options available within the marketplace. Generally, the UW has used the following principles in selecting IT solutions: 

  • Outsourced or hosted solutions for functions that are not core to the UW mission (such as check printing) or when there is competitive advantage for contracting with a third party (for example, undergraduate admissions)
  • Custom built solutions for functions that are central to the UW academic mission
  • Best-in-breed vendor packages for niche functions (such as study abroad) or commodity functions (such as room scheduling)

The advent of community sourced software, such as Kuali Student, introduces a new option that combines many of the advantages of custom and licensed solutions.

While the UW’s future SIS portfolio will continue to span a broad spectrum, the UW’s preferred replacement solution is Kuali Student. Kuali Student will allow the University to reduce the total cost of ownership and maintain a high level of control over core functions, as shown in the following diagram.

The Student program is focusing on shorter-term efforts to deliver high-value enhancements to improve efficiency. Plans for the FY 2012 include the development of:

  • MyPlan: Student Academic Planning and Curriculum Management, Phase 1
  • Customer Relationship Management (CRM) system
  • Curriculum Management (Kuali Student's first deliverable)

The Student program also plans to:

  • Contribute to other projects that improve student experience (e.g. eTextbook pilot)
  • Make required changes to support financial aid and student fiscal accounting
