Roles and Responsibilities

  • Oversee and guide all aspects of the University of Washington Strategic Roadmap for Information Management and Administrative Systems (Roadmap) program, ensuring alignment with UW policies and priorities and across Roadmap projects.
  • Review and approve recommendations of the Roadmap Oversight Group on key directions and priorities.
  • Make decisions regarding sequencing, timing, resourcing, capacity planning, and prioritizing for all Roadmap projects.
  • Advise, guide and support Roadmap communications to key internal and external stakeholders, and provide support for the Roadmap program.
  • Advise, guide, and support development and execution of a Roadmap investment strategy.
  • Resolve key issues that might impact Roadmap program progress or success.

Roadmap Oversight Group

The Roadmap Oversight Group is charged with providing strategic guidance and coordination across UW Strategic Roadmap for Information Management and Administrative Systems (Roadmap) initiatives. The group is responsible for viewing the Roadmap initiatives holistically–ensuring they are aligned with each other and are supporting the University of Washington’s highest priorities.

Scope

The Roadmap Oversight Group is charged with overseeing the following four Roadmap Initiatives:

  • Information for Decision Making
  • Replace the Base
  • Redesign Processes
  • Enhance and Renew Systems

Roles and Responsibilities

The Roadmap Oversight Group will have strategic focus. It will evaluate and resolve key issues including:

  • Project prioritization and sequencing
  • Funding and risk
  • Resource and organizational capacity
  • Change management

The group will develop a two-to-five year vision of how Roadmap projects should move forward. It will engage in an ongoing process of reevaluating priorities and sequencing as funding and priorities evolve.

The Roadmap Oversight Group is advisory to the Roadmap Executive Sponsors. It will make recommendations to the Executive Sponsors on key decisions and directions and on issues that may impact the Roadmap initiatives. In addition, the group will keep the Executive Sponsors updated on important issues under consideration.

The group will meet regularly through the end of FY 2010, providing advice and oversight during this key pre-planning phase.

The Roadmap Oversight Group will play a key role in shaping the future direction of Roadmap Initiatives, ensuing the projects are moving in concert to provide the University the critical support it needs to support new funding and business models.

Background and Context

The Strategic Roadmap for Information Management and Administrative Systems sets forth a long-term, comprehensive plan for the future of UW information management and administrative systems. Finalized in 2008, the Roadmap recommends five key initiatives to meet the UW's business and information needs into the future. (For more information, see the Roadmap Web site).

Over the past two years, several major Roadmap projects have been launched including the Financial Systems Needs Assessment, Kuali Student, the System to Administer Grants Electronically (SAGE), the Research Roadmap, and discussions about options for HR/Payroll. As these efforts have moved forward, it has become clear that there is a need for a group of key stakeholders to oversee the Roadmap initiatives and ensure these are being viewed and planned for holistically.
