Data Custodians and Data Trustees

Data Trustees are defined as institutional officers, (i.e. Vice Presidents, Vice Provosts, Deans, Chancellors, etc.) who are appointed by the President or Provost, and have authority over policies and procedures regarding business definitions of data, and the access and usage of that data, within their delegations of authority. Each Data Trustee appoints Data Custodians for their specific Subject Area Domains.

Data Custodians are defined as individuals assigned by and accountable to the Data Trustees. Data Custodians help define, implement, and enforce data management policies and procedures within their specific Subject Area and Business Domains, as defined in the UW Data Map. The Data Map provides a description of each business domain, the business processes handled by that business domain, and who the Data Custodian and Data Trustee is for each business area.

Data Custodians perform several key data management functions including:

  • Identifying Systems of Record containing Institutional Data
  • Categorizing Institutional Data within Systems of Record according to security and privacy guidelines
  • Defining access, quality and usage guidelines for Institutional Data
  • Reviewing and approving requests for access to Institutional Data
  • Documenting and maintaining Institutional Metadata
  • Educating and sharing best practices with other data management personnel

UW Data Map Project

Purpose

The Data Management Committee (DMC) created a data and business process classification scheme called the "UW Data Map". The purpose of this classification is to help provide consistency in the cataloging and maintenance of the vast amount of institutional data that is contained within a wide spectrum of systems.

The UW Data Map:

  • Provides a common point of reference for business and technical audiences when discussing information Mgmt issues
  • Guides data Mgmt decisions about access and use of information
  • Clarifies the boundaries and interdependencies among different systems and business processes
  • Increases effective information sharing by creating a common reference for grouping and disseminating information
  • Provides a framework for assisting strategic planning processes for enhancing and building out information systems and analytical reports

UW Data Map

The UW Data Map is divided into seven subject areas as represented on the color coded diagram below. Click on the subject area domain to quickly jump to that section.

Each subject area is further subdivided into "Business Domains." The Data Map provides a description of each business domain, the business processes handled by that business domain, and who the Data Custodian and Data Trustee is for each business area. In some cases a business domain has multiple Data Custodians and Data Trustees and a further subdivided by a Custodial Area or Location.

The Data Map is intended to help UW employees that have a data governance question find the appropriate Data Custodian for assistance. In domains with multiple Data Custodians if it is not evident which custodian to confer with, by looking at the business domain and custodial area descriptions, sers should contact the Data Custodian listed at the "Domain Coordinator" for assistance in determining the right person to confer with.
