Overview

The UW is in the process of procuring an enterprise document/content management system (EDMS) focused on the capture, storage and management of electronic content. The new solution will support institutional 'green' paperless initiatives while delivering increased efficiencies for business units.

This initiative is focused on delivering a document/content management solution that will serve as one component of an integrated system that includes workflow and business Web applications. Workflow and business Web applications will be addressed through separate initiatives, integrating with the EDMS as needed.

Procurement Process and Timeline

The UW issued a Request for Proposal (RFP) on March 9, 2012. Proposals were due April 27, 2012 and are no longer being accepted. Vendors were invited to campus for product demonstrations in June 2012. A pre-contract Proof of Concept is currently underway with one of the finalist vendors and is scheduled through Winter 2013. 

Implementation Planning

Pilot implementations of the EDMS are anticipated for mid-2013, beginning with a limited number of documents related to post-award grant management processes. The pilots will provide the UW with hands-on experience needed to inform subsequent implementation plans and timelines.
