EARS Help: Degree Audit Tab

The Degree Audit Reporting System (DARS) plugs completed and in-progress coursework into the requirements of UW's majors and minors so advisers and students can see what's been completed and what's still left to complete. This tab is an Internet version of the SRF370 and 390 screens on the mainframe version of DARS.

EARS allows advisers to run degree audits, run graduation degree audits, and create the 12 most popular DARS exceptions.

NOTE: This help screen is meant to orient advisers to the way DARS works within EARS. For more detailed help on using DARS, please visit the DARS help page hosted by the Office of the Registrar.

Available Audits

This section of the screen displays audits that have already been run. To view an audit, click "summary" or "detail" and a new window pops up with the audit information. The "summary" view offers a short version of the audit, and is useful to quickly see what's left to be completed. The "detail" view lists what courses are being used to complete each requirement.

The date and time the audit was run is displayed in the "audit status" column.

All available audits are deleted at the end of each quarter.

Rerunning an Audit

If you want to rerun an audit already appearing in this section, simply click the "resubmit" button. If you want to rerun it as a Graduation DARS, just check the appropriate box before clicking "resubmit".

Please note that you cannot rerun an audit for the same major for the same student in the same session (i.e., the "resubmit" button will not appear) unless one of the following is the case:

If you want to rerun a regular DARS audit for a student under other circumstances, you must first reenter the student's UW student number at the top of the screen. This refreshes the screen and the "resubmit" button will reappear.

When you rerun a DARS or GDARS that is already on the list of available audits, your new audit will overwrite the old one.

Create an Audit

This section has dropdown menus for the audits you can run for degrees offered at UW Bothell, UW Seattle, and UW Tacoma. Select the audit you would like to run and then click the "submit audit" button.

You'll see your pending audit appear in the Available Audits section with the label "pending" in the "audit status" column. Audits are usually completed very quickly; you can check by clicking the "recheck audit status" button.

When you run an audit, that audit will become available in EARS for advisers and in MyUW for the student.

Graduation DARS (GDARS)

If you want to run a Graduation DARS, or GDARS, simply check the "include graduation application" box before clicking the "submit audit" button. Or, for an audit that's been run previously, just check the appropriate box next to the "resubmit" button in the "Available Audits" section, then click "resubmit". The audit will appear in the list of available audits.

Please note that the list of available audits does not indicate whether an audit is a DARS or a GDARS; you have to click "detail" to see what kind of audit it is.

Exception Summary

This section lists the DARS exceptions that have already been run for this student, and is similar to the SRF370 screen in SDB. It also displays a couple of other kinds of changes advisers can make to students' status, namely:

The exceptions listed here also appear on the SRF370 screen, except in EARS a bit more information is provided. The columns are:

If you make changes in EARS you will see them on SRF370 immediately, and vice-versa.

Make Exceptions

This is a drop-down list of the 12 most popular DARS exceptions. Simply highlight the one you want and click the "Select" button. This opens a form that includes only the fields necessary for that particular type of exception.

This section includes numerous help buttons with links to information about the relevant section of the form.

At this time, only RU type exceptions are available through EARS; CS and other exceptions must be done using the SRF370 screen on the mainframe version of DARS.

Editing Exceptions

At this time, unlike the SRF370 screen, most existing exceptions cannot be edited in EARS. To "edit" an exception in EARS you must delete the current exception and create a new one.

The only exceptions to this are: 1) overrides to the quarter of admission to the major/minor, and 2) permission to use the pre-1985 graduation requirements. For these, you may edit the current information by selecting the appropriate item on the drop-down menu and editing the information in the form that pops up.
