My Approvals List

General Information

My Approvals List gives role-based authorized access to eGC1s that require your review/approval. eGC1s can be located in three different ways:
1. To perform a custom search using a combination of criteria, click on the Search link located in the black navigation bar at the top of the page.
2. To locate only electronically-routed eGC1s, select the "My Approvals status" view.
3. To locate all paper-routed and electronically-routed eGC1s, select the "UW eGC1 status" view.

Click on column headings to sort by that item (e.g., eGC1 Number, PI Name, Short Title, My Approval Status, Needed From OSP or eGC1 Status). Approval Flow and eGC1 buttons allow access to further information on that selection..

My eGC1s Re-directs the browser to the My eGC1 List. This list displays all eGC1s to which you have access.

My Advance Requests Re-directs the browser to the My Advance Requests. This list displays all advance budget number request forms to which you have access.  
Search Approvals Re-directs the browser to a custom search for eGC1s. Use any combination of the search criteria to locate eGC1s to which you have access. More specific searches will return fewer results.

Approval Status Checkboxes
View by My Approval Status

The My Approval Status indicates where an eGC1 is in the routing process relative to your role. Only online applications are displayed via this status.

There are 6 approval statuses (checkboxes). For each approval status box that you check, eGC1s in that status will be displayed. For example, if you check the Approved checkbox, all applications in the Approved status will be displayed. More than one checkbox can be checked at a time. By default, the Waiting for Approval and Watching checkboxes are checked.

eGC1 Status Checkboxes
View by UW eGC1 Status

The UW eGC1 status indicates where an eGC1 is in the routing process relative to the entire UW routing status. Both online and paper applications are displayed.

There are 9 UW eGC1 statuses (checkboxes). For each box that you check, eGC1s in that status will be displayed. For example, if you check the Approved checkbox, all applications in Approved eGC1 status will be displayed. More than one checkbox can be checked at a time. By default, the Routing checkbox is checked.

Results List
Total Results The number of applications displayed currently as a result of the filter.  
Pages (1,2,3,...) If there are more than 20 eGC1s listed, they will be displayed on multiple pages. To move to another page, click on an underlined page number. (If less than 20 eGC1s are listed then this feature is hidden.)  
Buttons

A selection of buttons will display for each eGC1 listed. Which buttons are displayed is determined by the status of the eGC1 and your authorization level for the particular eGC1. Possible options include: Approval flow, eGC1

 

Table Headers
eGC1 Number This unique number is used to identify an eGC1 and application. It replaces the OSP number. This is generated and displayed automatically by SAGE. Clicking on this column header will sort the list by eGC1 number (low to high); click again to sort from high to low.  
Approval Flow button

This button will be visible if the Routing Type for the eGC1 is Online. Clicking this button will let you view the eGC1 Approval Chart.

eGC1 button Clicking this button will let you view the eGC1 webpages (e.g., Application Details, PI & Contacts, Personnel, etc.)..
Icon for Attachments This icon displays then documents have been uploaded to this eGC1.  
PI Name

The name of the Principal Investigator for the application. Clicking on this column header will sort the list alphabetically by short title (A to Z); click again to sort from Z to A.

A person who can be named as a PI on a grant application or contract, following the rules for your school or college. MAY be a faculty member, research scientist, or professional staff member who has authority in your unit to submit a proposal as a PI. For those persons who can submit as PI but need a faculty sponsor (i.e. senior fellow, post doc, etc), use the "Researcher Requiring Faculty Sponsor" role.

 
Short Title

A short title (no more than 22 characters, usually assigned by the PI or department) to identify the project within the UW financial system.

Clicking on this column header will sort the list alphabetically by short title (A to Z); click again from Z to A.

 
My Approval Status

The My Approval Status indicates where an eGC1 is in the routing process relative to you or your role. Only online applications are displayed via this status: En Route, Waiting For My Approval, Approved, Returned, Watching, or Watched.

Clicking on this column header will sort the list alphabetically by status. Click again to reverse the order.

My Approval Date

The date that you or your role approved this eGC1. This information is also displayed on the eApprovals History & Comments page for this record.

Clicking on this column header will sort the list numerically by the My Approval Date.Click again to reverse the order.

 
Needed from OSP

The last date (MM/DD/YYYY) OSP needs to process and sign the application in order to meet any special deadlines or requirements by the sponsor or within the department.

eGC1 Status

The UW eGC1 status indicates where an eGC1 is in the routing process relative to the entire UW routing status. Both online and paper applications are displayed via this filter: Routing, In OSP, Approved, Withdrawn, Returned, Awarded, Denied By Sponsor.

Clicking on this column header will sort the list alphabetically by the eGC1 Status. Click again to reverse the order.

Add Comment button

This button will be visible if the Routing Type for the eGC1 is Online. Clicking this button lets you add a comment to the eGC1. The comment, date, time and your name is recorded in the History section.

Approve button This button will be visible if the Routing Type for the eGC1 is Online. Clicking this button lets you Approve the eGC1, and add a comment. Comments are not required.
Return button This button will be visible if the Routing Type for the eGC1 is Online. Clicking this button lets you Return the eGC1, and add a comment. Comments are required.
