Equipment Fabrication

Equipment fabrication occurs when University shops or labs construct a
piece of equipment that is not available for purchase. Researchers can build,
or fabricate, customized equipment to aid in research. As the costs to build
the equipment are incurred, they are charged accordingly as salaries, benefits,
supplies, and not automatically as equipment. The costs are reclassified to
appropriately reflect as equipment costs.

- Department decides to fabricate equipment.
- Department requests sponsor approval if required, otherwise starts building equipment.
- Department tags equipment with tag number from Equipment Inventory Office (EIO).
- Department sends fabrication request to GCA.
(Note: Even if you have a sub account established specifically for
fabricated equipment only, you still need to send a fabrication request
to
GCA.)
- GCA verifies equipment ownership codes to make sure equipment is University owned.
- GCA reviews the fabrication request and attached BARs and routes request to EIO for approval.
- GCA prepares a Journal Voucher (JV) debiting the equipment object codes
06-91 and crediting cost transfer object code 21-50. These charges are credited to
21-50 instead of the original cost category. This results in an F&A cost
reduction.
- If the request is denied, GCA notifies department along with reasons and possible remedies. Common reasons for denial is not including the UW Tag# on request and equipment is non-University owned.
The department must notify GCA and EIO with a fabrication request when they
intend to fabricate equipment. The department can start building the equipment
before they tag it or process the fabrication request.
- Obtains an equipment inventory tag from EIO
- Sends a Request to Transfer Expenditure (RTE) form, highlighted BAR copies of fabrication expenditures, and equipment tag number to GCA.
- Prepares a spreadsheet with equipment related expenditures totaled by object code.
- Sends in request for fabrication at least once a year.
(Note: Even if you have a sub account established specifically for
fabricated equipment only, you still need to send a fabrication request
to
GCA.)
