SUPPORT
A Videoconference Consultant is available to assist you with the
entire
process, including help with technical coordination of the
videoconference with
the far-end site, material preparation, and operation of equipment on
the day of the conference. We can also provide an initial demonstration

RESERVATION Policies
Rates and Fees (Effective as of July 1, 2010)

| Includes on-site support during the event. Thirty (30) minutes of event set-up and post-production support will be added to event duration. | ||
- UW Students: Classroom Support Services offer videoconferencing services free of charge though the Student Technology Fee.
- UW faculty, staff
and researchers pay using a UW Budget Number.
- Non-UW groups paying with
credit card can also reserve the studios.
*Institutional Overhead (15.6%) will be added to all Non-UW invoices. - Each reservation is subject to an additional thirty (30) minute minimum setup fee. Time going beyond thirty (30) minutes will be billed in additional 15-minute increments at the applied rate.
- Hourly rate includes on-site support for the duration of the reservation.
- Additional time spent in the videoconference studio prior to or after your event will be billed at the standard rate.
- Reservations do not include extra set-up time before your event, or extra time after.
- Urgent reservations made within five (5) business days of the event: $82.50
- Videoconference studios are available for reservation after standard business hours, depending on staff availability. Standard Business Hours: Monday to Friday, 9:00AM to 5:00PM. Room reservations scheduled outside Standard Business Hours: $82.50
- Fees
are subject to change and are adjusted annually. Any changes go into effect at the start of the fiscal year (July 1st).
Room Availability
- Reservation requests are accepted on a first-come, first-served basis.
- Videoconference
Facilities are available during building hours only.

Cancellation and Rescheduling
- The following cancellation fee policy applies for all reservations:
- More than five (5) business days advance notice: $82.50 per event or event series
- Less than five (5) business days advance notice: 50% of reservation charge
- Less than two (2) business days advance notice: 100% of reservation charge
- More than five (5) business days advance notice: $82.50 per event or event series
- The following fees apply to rescheduling videoconference dates and times
for all reservations (must have new dates at time of request).
- Rescheduling events with more than five (5) business days advance notice: $50
- Rescheduling events with less than five (5) business days advance notice: $100
- Rescheduling events with more than five (5) business days advance notice: $50
General Policies
- Smoking is not permitted.
- Eating and drinking are allowed in designated areas.
