Outlook 2011 (Macintosh Only) and UW Exchange

Summary: This page describes how to set up Outlook 2011 on your Macintosh for use with UW Exchange.

Note: the screen shots are from Outlook 2011 version 14.0.0.

Copying information from previously configured software

When launched for the first time (in a given account on your Macintosh), Outlook 2011 will offer the opportunity to import settings from previously configured software, or add a new account "from scratch".  Adding a new account may actually be easier, but if you have previously correctly configured Entourage on this same account then it may save time as Outlook copies forward setting, and cached, information from that account.  To skip this section and go directly to "creating a new account", click here.

  2. If Outlook presents an opening window similar to the image below:



    Select "Add Account" and skip to "creating a new account"

    OR

    Select "Import" to copy settings from previously configured software, and continue to step 2

  3. You need to indicate what software you are using as the source, select appropriately on the window pictured below:

    In our example, we'll choose "Entourage", then click the right arrow.

  4. If the application has different versions that might be present, you also need to select the appropriate version number on the window pictured below:

    Our example uses "Entourage 2008 (Web Services Edition), click the right arrow.

  5. Depending on the software and version, there may be different kinds of information available for import, select all desired items on the window pictured below:

    In the example, we've selected everything available, click the right arrow.

  6. Some (Microsoft) software has an "Identity" to import, if you have more than one available, multiple choices will be listed. The "Main Identity" is usually the best choice, select as appropriate on the window pictured below:

    Click the right arrow.

  7. A warning likely appears:

    Click "OK"

  8. Your permission is needed to use the "keychain":

    Click "Always Allow".

  9. When finished (it may take some time...) a window similar to that pictured below will appear:

    Click "Finish" (!)

  10. Exit and restart Outlook to be sure it is correcly setup, which should now be ready for use.

Create New Account

To set up Outlook you will need an active Internet connection.
To start the setup:

  1. StepsActions
  2. Launch Outlook. If the "new user" page appears (as above) use the "Add Account" function, otherwise use the Tools menu, and click Accounts to get to the Accounts window, pictured below:

    Click "Exchange Account"

  3. Enter account information in the "sub-window", as pictured below:



    • Enter your UW email address, in the form UW-NetID@u.washington.edu (replacing "UW-NetID" with the UW NetID you wish to use with UW Exchange, in the example a UW NetID of "myuwid" is used)

    • Enter your User name, in the form "netid\UW-NetID", the "netid\" is entered literally followed by the UW Netid you wish to use with UW Exchange.

    • Enter your UW NetID password

    • Leave the option to "Configure automatically" selected

    • Click "Add Account"

  4. If all goes well, the account is configured automatically and the "Accounts" window fills in similar to that pictured below:

    The "Account Description" is simply a label, and may be whatever you like, though "UW Exchange" seems a good choice.

  5. Exit and restart Outlook which should now be ready for use.

Route Your Mail to Your Exchange Account

If you currently receive mail in a Deskmail (or some other) account, make sure that your new mail is being routed to your Exchange account.  As long as your UW Exchange account exists, mail from other UW Exchange users may be delivered to that Inbox regardless of the setting in place for your "@u" email delivery.

Using Outlook 2011 from Off Campus

Outlook 2011 may attempt to make "directory" (LDAP) lookups using the campus "Active Directory" service.  This is not permitted from outside the UW network (unless connected via VPN) and so will fail. This impacts directory lookups if done specifically as "directory" queries. It has no impact on your ability to read or send mail. Outlook will also, and usually successfully, find information about addresses you enter, or partially enter, using the "check names" function even from off campus. You may also use the Campus Directory via the Web and copy/paste that result into Outlook.

Create An Account For Your Deskmail

If you create an account for your Deskmail in Entourage, you can see your old Deskmail as well as your new UW Exchange mail. This makes moving messages between your Deskmail and UW Exchange accounts easy. However, NEVER DRAG FOLDERS! between accounts, move MESSAGES between FOLDERS, not folders between accounts.
