Configure Email and Calendar for Your Smart Phone

    To sync your email with the UW Deskmail servers there are two tested and documented options: VersaMail, which comes standard on most Treos, and SnapperMail:

    Configuring VersaMail on Treo

    Palm VersaMail is included with the Tungsten C, Tungsten T2, Zire 71, and Treo smartphones.

    1. StepsActions
    2. Open VersaMail on the Palm device.
    3. Tap the top of the screen to bring up the menu bar, select "Accounts" and then "Account Setup".
    4. Tap "New" to set up a new account.
      • Account name: enter an account name. (You can use your UW NetID or some other name; this is just a nickname).
      • Mail Service: select "Other".
      • This brings up a Protocol list; select "IMAP".
      • Click Next.
      • Username: enter your UW NetID.
      • Password: must be your UW NetID password.
      • Click Next.
      • Email address: your_uwnetid@u.washington.edu (Replace "your_uwnetid" with your actual UW NetID).
      • Incoming mail server: your_uwnetid.deskmail.washington.edu*
      • Outgoing mail server: smtp.washington.edu
    5. Click Next, then click Advanced.
    6. Incoming Server settings:
      • Change the Port Number to 993.
      • Check "Use Secure connection (SSL)".
    7. Click Next.
    8. Outgoing Server settings:
      • Change the Port number to 587.
      • Check "Use Secure Connection (SSL)".
      • Check "Use authentication (ESMTP)"
      • Your Username and Password should be automatically filled in; if they are not, re-enter them.
    9. Tap Done.
    10. Connect to the cellular network prior to using the email function:
      • Press and hold the power button, or start a phone call.

    If you are having connection issues or server timeouts try the following:

    1. StepsActions
    2. Select "Preferences" from the "Options" menu. To get to the "Options" menu, tap on the menu bar at the top of the screen.
    3. Under "Advanced" select "Connections".
    4. Change the "Timeout" setting to "180" seconds.

    Configuring SnapperMail on Treo

    Note the following about the SnapperMail configuration on Treo:

    2. Download and install the Enterprise version of SnapperMail to the device. (The Enterprise version works with IMAP4)

    3. Open SnapperMail, and tap in the upper left corner to drop down the menu with Messages, Accounts and Options.
    4. Tap Accounts - New Accounts - and IMAP4 account.
      You are now on the "Edit IMAP4 Account" page, with tabs for Identity, Server and Rules.
    5. At the top of the screen, replace the default name of "Account1" with one of your choosing.
      • Under Incoming Mail, use the following:
        1. IMAP4 Server: your_uwnetid.deskmail.washington.edu (Replace "your_uwnetid" with your actual UW NetID)
        2. Username: your UW NetID (same as used for IMAP4 server)
        3. Password: your UW NetID password
      • Under Outgoing Mail, use the following:
        1. SMTP Server: smtp.washington.edu
        2. Username and password as above
      • Click on the More button to go to the Server Settings screen. It has sections for IMAP4 Settings and SMTP Settings.
    6. IMAP4 Settings:
      • Change "no SSL security" to "always secured (wrapped port)". This will change the port to 993.
      • Check the box for "always trust server".
    7. SMTP Settings:
      • Change "no SSL security" to "secure if available (STARTTLS)". This will leave the port at 25 or you can change the port to 587 to meet the new UW SMTP protocols.
      • Don't check the "always trust server" box.
    8. Click OK.
      You should be at the Edit IMAP4 Account screen.
    9. Click on the Rules tab. You can make choices here about how your email is handled:
      • Sync: Choose "up to 2 days old". If you click the "Sync unread mail only", you can probably go back further on the Sync option if you like, without slowing your sync speed too much.
      • Receive: It's best to leave it at "first 4k only", as this will let you start reading the message more quickly, while it continues to download the rest of the message.
      • Outgoing mail rules: if you click here, it will leave a copy of each message, but only in the Sent folder on your device.
      • If you want to send a copy of each message to your own Inbox, click on More Rules. In the "bcc a copy of outgoing mail to:", enter your full email address and tap OK.
    10. Click OK again at the Edit IMAP4 Account.
    11. Click Done.

    E-mail Address lookups

    Note: this requires using the Treo Address Book, which are the Contacts from the Phone interface

    1. StepsActions
    2. Input a Name and E-mail Address in the Contacts
    3. When creating a new message, type in the First Name or matching string - after hitting a space, Snapper will look in the contacts and present all addresses from matching strings.
    4. Click 'Add' while highlighting the desired address

    Purging Deleted Messages from the Server inbox

    1. StepsActions
    2. On the Snapper menu, find "Messages/Purge Deleted"
    3. You are given a choice of 'never' and 'on next sync'. This setting is constant, so make sure you only set it to the sync setting when you *want* to purge your *server* inbox from Snapper.

    The Calendar synchronization service will synchronize with the C&C-provided Oracle Calendar service. You must have a valid Oracle Calendar account to be able to use this synchronization service.

    There are 2 options:

    Oracle Sync for Windows XP

    1. StepsActions
    2. If "Palm Desktop" isn't already installed, install it before installing the Oracle Calendar Sync software.
    3. Install the sync software from the "Windows - Palm" link on the Calendaring Software Clients at the UW page.
    4. Choose Custom install. Select the components you wish to install. (If you only wish to sync Event data, leave the Date Book Conduit selected and then deselect the Address Book and To Do List Conduit) Continue with the install, and click Finish.
    5. The Oracle Calendar Sync software will automatically open up the "Sign In - Settings" window. Enter your UW NetID in the "User" field and your Oracle Calendar password in the "Password" field.
    6. In the "Server Information" area, for "Server name" enter ctime.cac.washington.edu and for "Node" enter 1
    7. Go to "Date Book - Date Range". (This is where you will determine how far back and how far forward the synchronization will occur on your device) Enter your desired date range**.
    8. *** Open up "Palm Desktop", select "HotSync" and then "Custom".  Select "Date Book" and click on "Change", then select "Do Nothing" and check the "Set as Default" box and then click OK. You will need to repeat this process for both "To Do List" and "Address Book" if you plan on using the Oracle version of these. If you chose not to install the Oracle versions of these conduits in step 3 above, then you only need to make these changes for the "Date Book".

    Configure Synthesis SyncML (Wireless) for Palm

    Synthesis SyncML allows wireless syncing to Oracle Calendar.

    Following is basic information for configuring SyncML, a third-party software available for both for the Palm and Windows Mobile operating systems. This software allows you to synchronize the Oracle Calendar, Contacts, and Task list with your handheld.

    Synchronizing your device with your desktop Oracle Calendar can cause duplications, if you have the same events in both locations. If you have an active Oracle Calendar account on the Oracle server with data in it, remove all calendar data from your device before synchronizing. If there is calendar data only on your device, and not in your desktop Oracle Calendar account, you can synch safely.

    1. StepsActions
    2. Purchase a copy of Synthesis SyncML Professional software and install it on your device.
    3. Open SyncML on the device. The default profile is selected.
    4. Tap in the Menu bar to open the Options menu, and choose Options - Profile Settings.
    5. Enter the following information:
      • SyncML server URL: https://cal-sync.cac.washington.edu:443/ocst-bin/ocas.fcgi
      • User: enter your UW NetID and your Oracle password.
    6. Under "synchronize databases", click on "More". The following entries for Server are case-sensitive, and you must enter server information for each of the three areas:
      • Under Contacts, choose "Normal" from the drop-down list.
      • Under Contacts server path, enter: ./Contacts
      • Under Events, choose "Normal" from the drop-down list.
      • Under Events server path, enter: ./Calendar/Events
        This is also where you set how far back and how far forward you want to sync events.
      • Under Tasks, choose "Normal" from the drop-down list.
      • Under Tasks server path, enter: ./Calendar/Tasks
    7. Click Done.
      You are back at the "Profile Settings" page.
    8. Check each box that you want to have synched: Contacts, Events, Tasks. Don't check "Email" or "Notes" - they are not supported on the Nebula version of Oracle Calendar.
    9. Click OK.

    Now you are back at the main screen, displaying Synthesis SyncML Client Pro, Profiles, with the appropriate Contacts, Events and Task boxes checked for your Default profile.

    To synchronize data:

    1. StepsActions
    2. Tap the Sync button to open and the Sync symbol to continue
    3. You will see: "server cert could not be fully validated; still allow connection?"
    4. Click "Yes" to allow

    Windows Mobile

     

    Configuring Pocket Outlook for UW Email

    Pocket Outlook comes standard on Windows Mobile devices. UW Technology only provides basic connectivity and configuration support (send and receive email) using UW email services.

    Pocket Outlook is a solution for travelers and is not a replacement for a full fledged email client application.
    A few screen shots have been provided below but may look different for other versions of the operating system and Pocket Outlook.

    Settings

    If you have experience configuring Web and email client software, use the values in the table below. If not, proceed to the directions for creating a new account.


    Use These Values to Configure Your Pocket Outlook

    When you are asked:

    Enter:

    To verify you're using IMAP

    select IMAP4*

    *Warning! The POP default setting on Pocket Outlook removes email messages from your UW Email Inbox (Pine, WebPine, or any desktop application configured to work with UW Email). To configure Pocket Outlook to work with UW Email, select only IMAP4 for incoming mail server.
    **If you use an Internet Service Provider (ISP) other than the UW, you need to use the SMTP (outgoing) server name it provides. Contact your ISP for this information. For details, read Using an Outside ISP and About SMTP.

    Creating a New Account in Pocket Outlook

    1. StepsActions
    2. Tap Start, then Inbox to start Pocket Outlook.
    3. Tap Accounts, select New Account.
    4. Enter your email address and tap Next.
    5. Autoconfigurator attempts to configure network access using available options.
    6. If Pocket Outlook is having difficulty with this step, tap Skip. You will have an opportunity to configure this later, otherwise tap Next.
    7. In the "User information" window that appears, enter:
      • Your real name in the "Your name:" field
      • Your UW netID in the "User name:" field
      • your UW password and tap Next.
    8. In the Account Information window select IMAP4 from the drop down menu, enter the name of this account as"UW mail"

    10. Tap Next.

    In the Server Information window for the Incoming mail:

    1. StepsActions
    2. Enter UWnetID.deskmail.washington.edu, (where UWnetID is your personal netID)
    3. Enter smtp.washington.edu** in Outgoing mail
    4. Leave the Domain field empty
    5. Tap the Options button

    7. In the Options Box, Do NOT check the box that enables "connect and check for messages..." option. IMAP4 communication protocol makes the server "push" the notification to the mail client as soon as a new message enters the Inbox. Leave the Connection field with the value that has been automatically set or choose one if it failed during the detection process.

    9. Tap Next.
    10. In the next window check the first two boxes to enable authentication for the outgoing e-mail server and encryption (SSL). It is suggested you leave the last option at a default 3 days or less.

    12. Tap Next.
    13. Use the default settings in the next window. Tap Finish. Congratulations! Your new mail account is configured.

    15. If you have an active connection to the Internet, Pocket Outlook will ask if you want to download folders from the server you just added.
    16. Tap Yes.

    If you don't have an active connection, you can download mail later by choosing the Send/Receive icon at the bottom of the screen. (It appears as two envelopes with dotted lines). You should now be able to download your UW email and send mail. Please consult your Pocket PC documentation on how to use Pocket Outlook to compose and read mail.

    Viewing Content of Other Folders in your UW Mail Account

    By default, only your Inbox folder is displayed.

    To view the content of your other folders, synchronize those folders with the server:

    1. StepsActions
    2. Tap Tools.
    3. Select Manage Folders
    4. Scroll down to find folder mail beneath Inbox folder in your UW mail  account. The "+" sign on the left of it indicates the hierarchical structure in that location.

    6. Tap the "+" sign to expand the view.
    7. Select folder(s) that need to be synchronized with the mail server from the list.
    8. Tap Ok in the top right corner to save the changes. The view returns to the Inbox

    10. To view the content of a different folder tap Inbox on the tool bar (changes immediately to Show) and select one of the folders identified in the previous step.

    Configuring Pocket Outlook to use the UW Directory Service (LDAP)

    Current design of Pocket Outlook does not allow proper configuration of the connection to the UW LDAP directory. It has no ability to define the "search base" parameter.

    Configure Synthesis SyncML (Wireless) for Windows Mobile

    1. StepsActions
    2. Open SyncML on the device. The default profile is selected.
    3. Tap Extras, then choose Profile Settings.
    4. In the 'General' tab section, enter the following information:
      • SyncML Server Address (URL): https://cal-sync.cac.washington.edu:443/ocst-bin/ocas.fcgi
      • Username / Password : enter your UW NetID and your Oracle calendar password.
      • Synchronize: Choose which data types to synchronize. You'll want at least events. Note that the E-Mail option has no effect in our environment.
    5. In the 'Organizer' tab section, enter the following information:
      • Contacts Server Path: ./Contacts
      • Events Server Path: ./Calendar/Events
      • You may wish to limit the amount of data synchronized in the 'Events' section. We recommend you do this to improve performance during synchronization. A good starting point is 10 days before, and 30 days after the current date. This will enable a sliding window of your data on the Windows Mobile device.
      • Tasks Server Path: ./Calendar/Tasks
      • If you want to enable the 'AutoSync' function, you may do so in the 'AutoSync' tab section. One approach that we have found useful is to enable a timed sync on weekdays during work time when wireless access is likely to be available. See the SyncML Help for more detailed information.
      • Return to the 'General' tab and tap OK.

        Now you're back at the main screen, showing Synthesis SyncML Client, with the appropriate Contacts, Events and/or Task boxes checked, for the Default profile you've just configured.

        To synchronize data: tap the icon with arrows either in the middle of the "Synchronization" section (with "Start" next to it) or in the tray (lower left corner). You may see the message "server cert could not be fully validated; still allow connection?" Click yes to allow the synchronization to proceed.

        When completed, you should see a status message next to where the "Start" text is located. If that reads "Completed OK", all synchronization worked.

        Note: You must be using the Professional version of SyncML for Windows Mobile synchronization to work in our environment. The standard version did not work properly during our testing.

    BlackBerry

    UW Technology provided Services

    The UW Technology BlackBerry service provides assistance with device acquisition, configuration, user training and provides ongoing support of the device's telephone, email and calendaring functions. See Smart Phone Services Available from UW Technology.

    Services provided by Wireless Carrier

    Each carrier provides internet service, allowing the client to have email forwarded to the BlackBerry device. There is no reconciliation between the BlackBerry Inbox and the UW Inbox, there is usually a limit on Inbox size, and calendar synching with UW Technology's Oracle Calendar service is not available.

    BlackBerry Internet Service

    BlackBerries can be configured to read email using the BlackBerry Internet Service provided by RIM. Unlike the UW Technology-provided BlackBerry email service, the BlackBerry Internet Service will not allow for interaction with your UW email inbox, but it will deliver copies of email sent to your UW address.

    Configuration

    Instructions for setting up the BlackBerry Internet Service vary depending on which vendor you are using for cell service. If you have a zero in your NetID password, this may cause difficulties when you go to synch your email. Configuration instructions for each vendor are available here:

    Each set of instructions will require this UW specific information:

    * where "your_uwnetid" is replaced by your actual UW NetID.

    ** manually changing the port number should not be necessary.

    In addition to these settings, you should also be able to toggle two options.

    1. StepsActions
    2. Always check “Leave messages on mail server” If you don't, your UW inbox will be emptied every time you use your BlackBerry.
    3. Check “Utilize SSL” Doing so will change the port number (referred to above) to 995 automatically.

    IPhone

    Configuring iPhone Mail for UW Email

    Summary: Apple iPhone Mail is the mail program that comes with the iPhone.
    The following information is sufficient for quick and easy configuration of iPhone Mail for use with UW Email.
    The images are taken from the first generation of the iPhone device and may look different from other versions of the software or hardware that you use.

    Technical Details of iPhone Mail Configuration

    If you are experienced configuring Web and email client software, just use the values in the table below. Otherwise, proceed to the directions for creating a new account.


    Use These Values to Configure Your iPhone Mail

    When you are asked:

    Creating a New Account in iPhone Mail

    2. Select Settings on the home screen
    3. Select Mail to start iPhone Mail.
    4. Touch Add Account, select Other and then IMAP.
    5. Page with account information fields appears.

    Configuring iPhone Mail to Use the UW Directory Service (LDAP)

    The iPhone Mail application does not currently support LDAP directory services queries.

    UnPOPing an accidentally POPped Inbox

    A common occurrence for people doing their own configuration is to identify the incoming mail server as a POP server rather than IMAP. The first time they connect to their UW Email their Inbox disappears.
    This mysterious event occurs because the iPhone Mail default settings for POP mail include the option to remove the messages from the server and put them in a folder on your local computer. To get those messages back to UW Email, perform the following steps:

    1. Start iPhone Mail.
    2. Remove the POP account ( Settings -> Mail -> select the POP account, touch Remove),
    3. Create a New Account in iPhone Mail (using IMAP, as described above).
    4. Go to the Inbox that contains the messages (should be the top folder) and drag the messages you need to the IMAP account inbox (under your IMAP UW email account).
    5. When all the messages have been moved, connect to your email host (Homer/Dante) and use Pine to verify that the email has been copied to your account.
    6. You can now safely delete the messages from the iPhone Mail local Inbox.

    Changing Your Password

    If you have saved your email account password as part of the configuration of your iPhone Mail email program, then you will need to change that stored password to match your mail account password whenever you change the password associated with your UW NetID. If you don't change this stored password, you will get a "password error" when you attempt to connect to the mail server (because it is using the old stored password). Since regularly changing your UW NetID password is a recommended procedure, we do not advise you to store your password within your email program.

    Additional Information

    Configure the iPhone for UW Exchange

    1. StepsActions
    2. Tap the Settings icon from the iPhone home screen.
    3. Tap the Mail, Contacts, Calendars button
    4. Choose Microsoft Exchange at the top of the screen.

      Email: enter your @u.washington (or other) email address.
      Username: enter netid\ (yes, that’s a backslash) followed by your UW NetID.
      Password: enter your, ehh, password.
      Description: enter UW Exchange or any other name you’d like to give this service on your iPhone.
    5. Tap Done or Next.
    6. You will see a message asking you to accept the certificate. Tap Accept.

    7. Enter exchange.washington.edu in the Server field.

  • Finally choose which services you want to automatically sync with Exchange. You can always changes these choices later by visiting the Mail, Contacts, Calendar preferences in the Settings area.

    Authenticating an iPhone on UW networks

    To use the UW wireless services (WiFi) to connect to non-UW Web sites, you will be prompted to authenticate with your UW NetID and password.

    3. If necessary, double-tap in the center of the page to zoom in.
    4. Tap on the Login with your UW NetID button in the center.

      The UW NetID Weblogin page will appear.
      Fill in UW NetID field
    5. Tap inside one of the text fields to bring up the keyboard.
    6. Tap on the UW NetID field and enter your UW NetID.
    7. Scroll down and enter your password in the Password field
      Fill in password field
    8. Tap the Login button.
      Press login button
      You will now be able to access the World Wide Web through the UW WiFi services.
    9. Important: When finished with any authenticated Web session with your iPhone, press the Home Button for at least five seconds to turn off the iPhone and terminate the authentication.
