Send Announcements and Reminders

WebQ can send announcement email messages to your participants when a survey or quiz is published. WebQ can also send reminder messages at a future date you specify.

Note: Surveys and quizzes that are set to the "Anyone" security level can not track participant information, so notifications can not be sent.

WebQ Announcements

WebQ can send announcements about your survey or quiz to your participants via email. Announcements are sent at the date and time you have chosen to publish the survey. You can customize the subject line and message text included in the announcement; WebQ automatically includes the URL of the survey or quiz and some basic instructions at the end of your message.

Note: Each email address will only receive a single announcement of the survey. If you need to send additional notifications to your survey population, you should use the WebQ reminder feature.

Security Setting Announcements
Anyone OR Anyone with a UW NetID WebQ can not send announcements, as there is no discrete list of participants to send to.
Members of a defined group of UW NetIDs

OR People with specific email addresses

WebQ sends announcements at the time that you publish your survey or at a future date you specify.
People using a custom ID If emails are associated with custom IDs, then WebQ sends announcements at the time that you publish your survey or at a future date you specify. You will be prompted to associate email addresses with custom IDs the first time you open the Notifications dialog box.

Send Announcements

  1. StepsActions
  2. On the "Summary" page, click Notifications. This opens the "Participant Notifications" dialog box.
  3. Click +New Notification, and then click the Announcements tab.
  4. Enter the subject and message of the announcement. A default subject and message is provided if you do not want to create a custom message. You do not need to include the survey URL in the message; WebQ will automatically add the survey URL to the end of your message.
  5. Select the date when you want the announcement sent, and click Save.
  6. You will see your announcement appear in your Notifications Schedule. If the announcement has not yet been sent, you can:
    Click the announcement name to edit it.
    Click Remove to delete the announcement.
  7. When finished, click the "X" to close the "Participant Notifications" dialog box.

WebQ Reminders

WebQ can send reminder messages about your survey or quiz to your participants. Reminder options vary, depending upon the security setting you selected. The chart below provides a quick overview:

Security Setting Reminders
Anyone No notifications can be sent.
Anyone with a UW NetID WebQ can only keep track of who has visited the survey. Reminders can only be sent to participants who have viewed the survey but have not submitted responses.
Members of a defined group of UW NetIDs OR People with specific email addresses WebQ keeps track of who has completed the survey. Automatic email reminders can be sent to those who have not yet taken the survey, and those who have viewed the survey but have not submitted responses.
People using a custom ID If emails
are associated with custom IDs, then WebQ keeps track of who has completed
the survey and email reminders can be sent to those who
have not responded to the survey or those who have viewed but not submitted the survey. You will be prompted to associate email addresses with custom IDs the first time you open the Notifications dialog box.

Send Reminders

  1. StepsActions

  3. Click +New Notification.
  4. Click the Reminders tab. Enter the subject and message of the reminder. A default subject and message is provided if you do not want to create a custom message. You do not need to include the survey URL in the message; WebQ will automatically add the survey URL to the end of your message.
  5. Click inside the Send on field. A calendar appears.
  6. Click the date on which you want the reminder to be sent.
  7. Click Save.
  8. You will see your reminder appear in the Notifications Schedule. If the reminder has not been sent, you may:
    Click the reminder name to edit the reminder.
    Click Remove to delete the reminder.
  9. When finished, click the "X" to close the Participant Notifications dialog box.
