The University of Washington participates in both the Federal and State Work Study programs to help on and off campus employers meet their temporary staffing needs. The Work Study programs provide bright, talented students with meaningful employment opportunities while reimbursing employers for part of the student’s wages.

Hiring information

This is a brief overview of steps in the hiring work study students.

On-campus work study

  • Submit a Job Description online. When completing the job description clearly state the requirements and duties of the job. Once the Work Study Office reviews and approves your job description, you will receive an email confirming the acceptance of your job and the job number.
  • Work Study Award Verification – students applying for your position must present a valid Work Study Award Verification Form signed by a representative of the Work Study Office. This form verifies that the student is eligible to participate and indicates the terms of the work study award. Full-time summer work study students will need to obtain a new job referral form for the academic year. The white copy of the completed Work Study Award Verification Form must be returned to the Work Study Office within one week of hiring.
  • Payroll Documents for UW Employers – the employer initiates the required payroll documents and hires the student in Workday.  Please refer to the ISC User Guide for details.
  • Reasonable changes within the student employee pay classification do not require prior approval and can be changed directly in Workday.

Off-campus work study

  • Submit a Job Description online. As a non-UW employer, you must also complete a Contract. When completing the job description clearly state the requirements and duties of the job. Once the Work Study Office reviews and approves your job description, you will receive an email confirming the acceptance of your job, the job number and reimbursement rate.
  • Work Study Award Verification – students applying for your position must present a Work Study Award Verification Form signed by a Work Study Office representative verifying the student’s eligibility. The Work Study Award Verification Form indicates the amount and duration of the student’s award as well as the terms and conditions of the award.
  • Reimbursement Instructions for Non-UW Employers – the employer initially pays 100% of the student’s wages. To be reimbursed, the employer must complete a UW Off-Campus Timesheet. Timesheets should be submitted at least once a month.

Students awarded Work Study must continue to show eligibility throughout the time they are employed. If for any reason the student you hire becomes ineligible to participate, you will be notified and the student must immediately cease employment as a Work Study employee. If this happens, you may continue to employ the student, paying 100% of the student’s wages without reimbursement.

Student schedule

Academic year part-time employment

  • students must be enrolled full-time
  • may work a maximum of 19 hours per week
  • the employment period is October 1, 2017 to June 8, 2018

Summer part-time employment

  • students must be enrolled full-time
  • may work a maximum of 19 hours per week
  • the employment period is July 1, 2017 to August 18, 2017

Summer full-time employment

  • students must be continuing students returning for the 2017-18 academic year but not enrolled summer quarter
  • must work 40 hours per week
  • must work during the employment period of July 1, 2017 to September 26, 2017
