The University of Washington: Facilities Services

In November 2004, the records vault moved to an online system for researching and ordering documents. A project to allow viewing the scanned images of our 90,000+ documents started in early 2005 and will likely take more than three years to complete. In April of 2007, 57,000+ documents were viewable in the online database and by December of 2009 that number had grown to 100,000+.

For most document and service requests...

  • Place request through our online database/shopping cart
  • Follow the Document Search link in the left menu
    1. If the work will be charged to a valid, funded UW Capital Project
      • You must be working on a valid, funded Capital Project
      • You must know the university Project Number (see your Project Manager)
      • The Records Vault staff will research the Project Number for validity
      • Records Vault staff can start work on your request after Project Number is found to be valid
    2. If the work will be charged to a valid, funded UW budget
      • You must know the valid budget number you intend to use

Exceptions...

  • Something that cannot be submitted through our online database/shopping cart
    • An exmaple would be if you brought documents to us for copies that are not in our online database
    • Must be submitted in person to the Records Vault staff in Plant Operations Annex 7
    1. If you will be paying cash for the work
      • see salmon card
      • Because cash jobs must be paid for in advance, the request must be submitted in person
      • Submit completed Services Request to Records staff
      • Records Vault staff will pull the requested documents to measure and calculate charges
      • You carry the Services Request with calculated charges to the Copy Center in room B42 in the Communications Building to pay
        • Copy Center will also collect tax and university usage fee
      • Return Services Request and receipt to Records Vault in Plant Operations Annex 7
      • Records Vault staff can start work on your request after receiving Services Request with receipt
    2. If you bring your own document
      • If the work will be charged to a valid, funded UW Capital Project, AND you represent a consulting firm

        • You must be working on a valid, funded Capital Project
        • You must know the university Project Number (see your Project Manager)
        • The Records Vault staff will research the Project Number for validity
        • Records Vault staff can start work on your request after Project Number is found to be valid
      • If the work will be charged to a valid, funded UW Capital Project, AND you are UW Design Services staff

        • You must be working on a valid, funded Capital Project
        • You must know the university Project Number (see your Project Manager)
        • The Records Vault staff will research the Project Number for validity
        • Records Vault staff can start work on your request after Project Number is found to be valid
      • If the work will be charged to a valid, funded UW Capital Project, AND you DO NOT represent a consulting firm or Design Services

        • You must be working on a valid, funded Capital Project
        • You must know the university Project Number (see your Project Manager)
        • The Records Vault staff will research the Project Number for validity
        • Records Vault staff can start work on your request after Project Number is found to be valid
      • If the work will be charged to UW Engineering Services
      • If the work will be charged to the UW Map or Special Collections budget
      • If the work will be charged to a valid, funded UW budget

All copy or scan services of Specifications (SM), Maintenance Manuals (MM), Engineering Reports (ER), Soil Reports (SR), Design Calculations (DC) is "self-service". Our staff will assist you with reader/printer operation.
