Timecards per Pay Period Query

Would it be helpful to know which timecards you have already entered for the current pay period? Here is a personal query you can create and save that will show you the last three weeks of your timecards. Give it a try!

Did You Know? AiM Fun Facts

  • 62,820 new Work Orders were entered in the AiM system
  • 9,062 of these Work Orders were in a PM category
  • 7,200 Material Requests were entered for non-stock vendor parts
  • The top 3 shops who had a phase in Work Complete Status
  • 20FOMS with 12,317
  • 69HVAC with 4,113
  • 35REFRIGERATION with 3,195
  • The following shops all had more than 2,000 phases in Work Complete Status: 24 Fire Alarm, 34 Locksmith, 17 Maintenance Electrical, 16 Plumbing, 41 Night Maintenance, and 23 Elevator.

Open Lab with Facilities Services Training Center

  • Would you like to know how to save the file name and location in the footer of your Word document?
  • Do you need to learn how to create recurring meetings on your Outlook calendar?
  • Is it possible to manage your email by sending certain emails directly to a special folder instead of your Inbox?

The staff from the Facilities Training Center will be joining us at the May 21st Open Lab Session. Whatever your computer-related question is about AiM, Word, Excel, Outlook – Stop by for a visit and bring your most challenging questions – Wednesday, May 21st from 9am – 10am in the Computer Training room, Plant Services building across from the Stores counter.

Searching in AiM

What information would you like to be able to find in AiM:

  • Where are my shop’s Work Orders that are marked Urgent or High Priority?
  • Did I enter all my timecards for this payroll period?
  • Where do I find the history of the parts I bought from vendors or from FS Stores?

If you have questions like these or need to find other information in AiM, check out the Facilities Training Center catalog and registration page
You will find descriptions of classes and computer trainings you can register for (with your Supervisor’s approval) that can assist and enhance your day to day work. Don’t have a lot of time available to sit in a class? Why not drop by for a few minutes and get your questions answered at one of the computer training room drop in sessions listed below (across from the Stores counter in the Plant Services building).

Februrary 2014 News & Updates

Adding Multiple Related Documents

An AiM User wrote to remind us how easy it is to ‘lose’ a group of Related Documents after adding them to the same location. The big hint to doing this correctly is: Remember that when you are adding related documents you are working in the EDIT mode. For example, you can add a new related document and think you have completed the process when you are returned to the screen which lists all the related documents – but no-o-o-o-o, you are still in the Edit mode and need to return to the original screen in order to perform the SAVE function. Only after saving the added documents are they available. If you simply click on the AiM icon and return to the WorkDesk or change to some other screen, you have not completed the entire Related Document process.

Timecard Approver Training & February Open Sessions

Until July 15th if you have a new timecard approver who needs training or WorkDesk setup, check the Facilities Training Center page for registration

Updates for Material Request Approvers

Before sending the NON STOCK Material Request to FS Stores, please verify all short term NEED BY dates (same day or next day) and identify the Material Request as a WILL CALL request, or change the date to a more realistic time frame. Using realistic Need By dates allows the entire process of ordering / receiving / disbursing materials to flow more smoothly. Using unnecessarily short Need By dates slows down the process for others and causes difficulties for Stores in their prioritizing. NOTE: Materials bought from on campus STOCK are always able to be purchased within one day and are not affected by this update at all.
