Information for Crystal Reports Users

All instructions assume the Crystal Reports report in use has been developed solely against the Facilities Services FME database.

Refreshing a Report

To run a Crystal report, do the following once the report has been opened in Crystal:

  1. From the Report menu select Refresh Report Data (or click the yellow lightning bolt on the toolbar).
  2. Enter the parameter values, if applicable, for the report and click OK. (See Parameters section below for more information.)
  3. If the Select Data Source window pops up, click on the Machine Data Source tab, highlight ‘prod’ and click OK.
  4. Enter the following in the SQL Server Login message box:
    • Login ID: fmereports
    • Password: fmerpts
  5. Click OK.

Parameters

Parameters are user-selected values entered (such as a date range) to tell the report what data to select from FME. Not all reports have parameters associated with them. If there are report parameters, do the following after completing Step 1 from above:

  1. If the Refresh Report Data window opens, select “Prompt for new parameter values” and click OK.
  2. The Enter Parameter Values window will appear with the first Parameter Field selected.
  3. Select or enter your parameter value in the Discrete Value field or enter the Start of Range and End of Range. (The value fields will look different depending on how the parameter has been defined.)
  4. If there is an Add button to the right of the Discrete Value field (or Range fields), click Add. Your parameter value will be entered into the Value list (or Start End list) at the bottom of the window. Repeat steps 3 and 4 until all relevant values for the selected parameter have been entered.
  5. If there is more than one Parameter Field listed in the top list of the window, click on the next parameter listed. Repeat steps 3 through 5 until all parameters have values entered.
  6. Click OK.
