Reservations
  • A 50% deposit (payable with a check, Visa or MasterCard, or UW budget number) and a contract signed by both parties are required to hold any date.
Cancellations and Refunds
  • If the client cancels three weeks or less before the event, the client will forfeit the deposit.
  • If the client cancels five days or less before the event, the entire payment is forfeited.
  • A refund check, if necessary, will be sent to the client within 30 days.
Restrictions
  • Living plants or fresh flowers must be delivered and removed the same day from the museum and must come from a florist. No flowers from home gardens are allowed.
  • Candles are not permitted in the museum, although chafing dishes are allowed.
  • No smoking is allowed in the Burke Museum.
  • No client, guest, or caterer may move equipment, exhibits, cases, or other property belonging to the Burke Museum.
  • Exhibit display cases are not to be used as tables or to hold any event-related materials.
  • Helium balloons are not allowed in the Burke Museum.
Parking
  • Parking is available on the south side of the museum, though it is recommended that the client call University Parking Services at 206-685-1543 to check the availability of on-campus parking on the day of the event.
  • UW parking rates may apply.
Food and Beverage
  • No food or beverage is allowed in the permanent or special exhibit galleries.
  • Catering arrangements must be approved by the Burke Museum Event Coordinator, 206-616-2036.
  • The caterer is responsible for cleanup and removal of all food, equipment, and garbage from the Burke Museum on the day of the event. Garbage and recycling receptacles are located on the west side of the building.
  • If alcohol is to be served, the client must first submit an application, obtainable from the Burke Museum Event Coordinator, to the University of Washington Vice-President for Student Affairs. Then the client must obtain a Washington State Banquet Permit, available at any Washington State Liquor Store.
Setup and Cleanup
  • Due to space restrictions, items generally cannot be delivered to the museum before the scheduled reservation time nor can items be left at the museum overnight. However, some exceptions can be arranged with the Event Coordinator. Please phone 206-616-2036.
  • The placement of the Burke Room tables and chairs must be left in the manner in which they were found.
  • The Burke Room must be left in the manner in which it was found. Please speak with the Event Coordinator regarding proper placement of tables and chairs.
  • Setup and cleanup time must be included in the overall rental time.
  • Staffing for setup, cleanup and conduct of the client's activities are not provided by the facility.
  • Overtime is charged at the rate of $100 per hour. Client may add one hour of overtime to any rental package. Additional overtime must be approved by the Facility Rental Coordinator.
Equipment and Security
Equipment fees may apply. Please contact the Event Coordinator at 206-616-2036.
  • Arrangements for the use of equipment should be made well in advance of the scheduled event to ensure availability.
  • Burke Museum staff will be scheduled to provide security for the facility and to provide information about the facility during your event.
  • The Burke Museum has the following equipment available for client use:
    • A PA system and CD music system for the Burke Room, Lobby, and Special Exhibit Gallery
    • Screen
    • Chairs: 70 padded
    • Tables: Six 6-foot rectangular
