State of Washington regulations require that all business
airfare for UW
travelers be
purchased through a State contract travel
agency, booking directly with any airlines' website or directly
calling any airline.
You must purchase
tickets with
either your
individual
UW
Travel Charge Card
or a
department CTA
. Use minority/women owned businesses whenever possible from
the list below.
Discount airfare tickets for
international routes only
may be purchased from an air travel wholesaler who is not a
contract travel agency if the following conditions are met:
- There is no state contract fare for the international
routes to be traveled.
- Quotes (telephone or written) have been requested from at
least two contract travel agencies for the required itinerary.
Written documentation of the quotes should include, at a
minimum, name of agency person obtaining the quote, date and
time of quote, and travel agency from which the quote was
obtained.
- Airfares can be obtained at a lesser price (than fares
quoted by the contract travel agency) from an air travel
wholesaler for the same required itinerary.
- The airfare price quotations from the contract travel
agencies are retained together with the documentation of the
wholesaler's airfare.
Azumano Travel is the only state authorized internet provider.

If you have already registered and read the important information, you may
log in directly to Azumano.
Azumano provides the state contract airfares, low internet
airfares, hotels, and car rentals. The fees are:

- Res/Tkt -- fee for making reservation and issuing a
ticket. This fee may also include a fare calculation breakdown which
is require if you combine a personal trip with the UW business trip.
You must request the fare calculation breakdown at the time of
booking to determine the price of each segment of the trip.
- Segment -- flight(s) between city of origin and destination (for
example: Seattle connecting in Chicago to Washington D.C. is one
segment.
Seattle stopping in Chicago overnight, then on to
Washington D.C. is two segments.
- Refunds -- fee for processing any refund or issuing a new
ticket as a result of a refund or exchange - partial or
full.
- Hard Copy -- fee for a paper ticket.
- Rental Car -- fee for booking a reservation for a rental
car.
- Hotel -- fee for booking a reservation at a hotel.
- Hard Copy Deliveries -- fee for delivery of the hard copy
of the ticket.
- Cancellation -- fee for canceling a ticket.
- Quote -- fee for receiving a price quote/no reservation.
- Telephone -- fee for travel advise/no reservation.
- Passport -- fee for a passport/contact agency to inquire
about passport fee.
- MWBE/MBE/WBE -- Minority Women Owned Business/Minority

Add the service fees to the airfare for reimbursement. Do not
list the fee(s) separately on the TEV.
