Submitting Electronic Files for Printing

  1. Provide a hard-copy mockup of your publication layout exactly as you wish it to appear when printed for folded brochures and multiple-panel publications. This hard copy of your final file from your laser printer will help verify that Creative Communications' output matches the source file (that nothing is missing, the fonts are right, and the text is wrapped correctly.)
  2. If the job is similar to one printed previously, it can be helpful to also provide a sample of the previous job.
  3. Provide a folding dummy using taped together hard copy laser print-outs of your document. Include blank pages when necessary. Indicate whether or not the hard-copy mockup and folding dummy are the actual size of the publication
  4. Submit color separated laser print-outs for each color needed in the document. Tip for Pagemaker users.
  5. Write on hard copy laser print-outs:
    • If photos/graphics are not placed in text, indicate keylines (lines indicating the borders of photographs.) This is only necessary if the keylines do not print. Use dashed lines and clearly mark "Keylines do not print."
    • If printouts for each color are not provided, indicate all different colored inks, screens (lighter shades of ink used elsewhere in document), and reverses.
    • Indicate any colors that will run all the way to the edge of the paper. These are called bleeds.

  6. Creative Communications maintains an extensive standard type font library. If you are using a font not already part of the library, you need to provide both printer and screen fonts. PostScript fonts are preferable. TrueType fonts are acceptable but don't always print predictably. It is the practice of Creative Communications to delete supplied fonts from their files after use, alleviating potential copyright infringement.   7. If graphics and/or photos are not already scanned, send graphics/photos to your Account Manager.

    • Identify all graphics/photos and their placement in the document.
    • Crop graphics/photos or
    • Indicate cropping or sizing needs.

  8. If providing electronic graphics or photos, please do not use WMF, PICT, JPEG, or embedded Excel or PowerPoint formats. They will cause the file to fail. Include the source files for any EPS (Encapsulated PostScript) or TIFF (Tagged Image File Format) files. Having the original files will allow Creative Communications to make adjustments for color, trapping, or imposition.

    • Photos: If the image is in color, import it as CMYK. Convert all RGB images to CMYK before importing them. Supply all duotones and files with clipping paths as EPS. Do not include other imported files within an EPS file. Such nesting often causes the file to fail when sending to the imagesetter. If the image is grayscale, use grayscale mode; if it is line art, use bitmap mode.

    • Resolution: Line art should be scanned at 600-1200 dpi. Continuous tone (grayscale or color) images should be scanned at 1.5 to 2 times the line screen. Creative Communications standard line screen is 150, so you should scan at 225-300 dpi. Scaling images is directly related to the original scanning resolution. If you scanned at 300 dpi you may enlarge the image up to 130%, for percentage increase beyond 130%, rescan the image at a higher resolution.

  9. If you wish to submit postscript or PDF files, please contact your Account Manager in advance.

  10. Print the directory window, showing the files on the disk. Include sub-folders containing fonts and graphics used in the docment. Provide your Account Manager with the exact folder or file name. If you plan to send files via FTP frequently, Creative Communications can set up a folder with a password for your exclusive use.

  11. Eliminate all extraneous material including unused fonts, graphics, colors from the color palette, and comp files. Page setup for multiple pages should be entered at the final trim size. Trim marks will be generated from the page size. There is no need to create oversized pages. Bleeds should extend 1/8" beyond the trim.

  12. Mail or deliver floppies, CD-ROM or ZIP disks to your Account Manager or ftp electronic files to Creative Communications. If your electronic files are too large to fit on a floppy, you can use a compression program such as "Stuffit" or "Compact Pro" (available from C&C.)

FTPing Electronic Files

You can use a variety of downloading software, including Fetch and WSFtp to ftp your electronic files to Creative Communications for printing. Your Account Manager can assist you with this process.

If your submission consists of several files, please create a subdirectory and then upload your files to that subdirectory. This will prevent your files from becoming mixed in with files from other clients/jobs.

NOTE: You must be registered through Creative Communications with an authorized username and password to use our FTP server. To register, see our FTP Registration page.

Macintosh Users: Please send Macintosh files as MacBinary. If you are sending many files or large files you may wish to compress them into a single Stuffit archive before transferring them.

Enter the following information into your FTP program:

  • HOST: ftp.pubserv.washington.edu
  • USER: [your_user_name]
  • PASSWORD: [your_password]
  • PATH: /(optional)

Once you are logged in, you can submit your files to one of the following directories on our FTP server (all require password):
