Should I Copy or Print?

The basic differences between printing and copying are quantity, quality, complexity, and turnaround times.

Black And White Publications

Using copying technology is most suitable for black and white projects with these requirements:

  • Standard sizes:
    • 8 1/2 x 11"
    • 8 1/2 x 14"
    • 11 x 17"
  • Camera ready or electronic file
  • Letter folds, half-folds, stapling, hole-punching, and collating
  • Standard paper used for copies
  • Some saddle stitching
  • Turnaround: 1 day to 2 weeks

With simple publications, printing becomes more cost effective than copying at approximately 10,000 copies. However, other considerations, like type of paper and folding and binding processes, can make printing a more economical option for smaller quantities. Your Account Manager can help you assess which type of process should be used.

Color Publications:

Because of the various elements at play with a color publication, it is advisable to contact your Account Manager to help make the decision between color copying and printing. The decision to go with one process over the other is dependent on:

  • Complexity of the design
  • Number of colors used
  • Number of copies needed
  • Level of quality desired
  • Deadline needs

A Account Manager is skilled at making these kinds of assessments.

Other Guidelines

When making the decision between copy technology and traditional print, there are two factors to consider: time and money.

Time:

Copying is always your fastest choice. Color copies can run at up to 60 impressions per minute/black and white up to 135 impressions per minute. Based on required file formatting, bindery needs, and the job size, your job can be completed in minutes to days.

Money:

Copies are priced at a flat rate, with volume discounts at incremental quantity breaks. Printing pricing has an economy of scale, with decreasing prices as the quantity increases.

Color:
Color copy prices range from $0.60 to $0.85 per impression, depending on volume and based on standard paper choices.
Traditional color printing ranges in price dramatically based on many different factors.

Quantities under 1,000 single or double-sided per original -
Copy technology is the most economical choice.

1,000 to 2,500 -
Have your job quoted both ways to find the lowest price.

Over 2,500 -
Printing will provide the lowest price.

Black and White:

Black and white prices range from $0.04 to $0.05 depending on volume. The price may be higher if you choose a specialty paper.

Black and white prints range in price.

Quantities under 10,000 - Copying is your economical choice.

Over 10,000 - Printing is the lowest priced production method.
