User Roles
0 – Reviewer / Cardholer: This user can view their own transactions,
profile, and any reports that the Program administrator specifies and
has access to all budgets in their division.
1 – Reconciler / Manager: This user can view their own Department's
transactions, profiles, and any reports that the Program administrator
specifies and has access to all budgets in their college/parent org code
(ex. 254 designates College of Arts & Science).
2 – Reconciler II / Division: This user can view their own Department
and division sub-levels, and any reports that the Program administrator
specifies and has access to any UW budget.
3 – CFO: This user can view the same things that the Level 4 user
can see, but doesn't have access to editing functions. For example, this
level might be used for a Chief Financial Officer.
4 – Program Administrator: This user has full access to all functions within the software application.
Navigational Tools

To better navigate on the Transaction List, Employee Profile List, and
Merchant Profile List screens, here are a few navigation tools:
“Select a View" Drop-Down Menu:
Displays
queries that have been created and saved. If no queries have been created,
this will show only the Default View option. If a query has been created
it will say Transaction List (custom view) above the "Select a View"
box. To revert back to default view, select "Default View" and
click go
.
Page Navigator:
The "Go to page _ of _" displays the number of pages of transactions
that are available for viewing. By clicking on the arrows on the upper
right part of the screen, you can display the first page, previous page,
next page or last page. The options available are dependant on the current
page. The drop-down feature allows you to go to a specific page number.
If more than 100 pages exist, a text box will allow you to type in the
desired page number.
Sorting Columns
To sort data by category, click on one of the underlined column headings.
This will sort the information in ascending order. To sort in descending
order, click on the underlined category again. An upward or downward triangle
indicator will appear next to the column that is being sorted, depending
on if it is sorted in ascending or descending order.
The Transaction Identifier (Trans ID):
This number is a unique reference number assigned to each transaction
in PaymentNet. As new transactions are posted, the row numbers will become
sequentially higher.
Screen Views:
• The Transaction View screen displays current transactions that
have not yet been downloaded into your accounting system. The user login
level determines the information that's available for viewing.
• Cardholders (Level 0 users), and above, can click on a transaction
to perform the following functions:
• Reassign
accounting codes on a "per transaction" basis.
• Split
transactions to multiple accounting codes.
• Dispute
transactions electronically. A red dot in the Trans ID column indicates
that the transaction has been disputed.
• Attach
a note to the transaction. Notes may contain up to 2000 characters. A
yellow "post-it note" in the Trans ID column indicates that
a note is attached to the transaction.
• Click on a Dollar Bill icon in the Trans ID column to see Level
II and III transaction detail.
• Using the Query Wizard all levels of users can: Develop customized
views.
• Save query
criteria so the same query can be performed in the future.
• "Create
Export File" and download the transaction listings in a tab delimited
ascii file that can be inserted into a spreadsheet.
Employee Profile

• Displays the Employee Profile List (What's displayed will vary
depending on the User Login level. For example, users with an access level
of 0 will see only their own profile.)
• Click on an Employee Profile to view address and acounting code
defaults for the cardholder.
• The Email address fields are used in conjunction with the reconciling
checkbox column. Automated email reminders will be sent if the "rec"
has not been checked in the Transaction listing screen. The second Email
address is used to send a reminder to the reconciler as well.
Merchants

• This displays the list of Merchants that your cardholders have
purchased goods and services from.
• Click on a merchant to see detail
• The Program Administrator can edit and save data in the Default
Accounting Code fields, Tax ID, and in the Merchant Status fields. The
Merchant Status fields affect reports.
Reports

• Many reports are available in three categories: cardholder, transaction
and merchant. Most reports have additional parameters which can narrow
the report output, or leave the parameters blank and click "Proceed
with Report" to see a broad range of information.
Documents

• Help—The user manual is available in an online Help file.
View on-screen, or simply click the printer button while viewing the manual
to print it.
• Frequently Asked Questions—This is a brief listing of some
of the more commonly asked questions about PaymentNet.
• Release Notes—This is a summary of " What's New"
in the latest update.
Accessing PaymentNet
• Go to the following web address: http://www.washington.edu/admin/procard/
• Select PaymentNet from the top menu
bar.
This will take you to the UWnetID login page. Enter your UWnetID (usually
that part of your email address preceding the @ symbol) and password to
gain access to your PaymentNet web account. You can find out more about
the UWnetID at http://www.washington.edu/computing/uwnetid
