Non-Resident Alien Questions

  1. What form should be submitted when a Non-Resident Alien individual change his or her name?
    If a Non-Resident Alien individual changes their name, the individual must to get a new Social Security Card and the name change needs to be done by the Payroll Coordinator in the OPUS system after making a copy of the new SS card. There is no need to submit an I-9 to the payroll office.

  2. How to handle individuals with double citizenship?
    The UW Payroll Office does not handle this issue. If the individual has a US citizenship, he/she will not be a Non-Resident Alien. This is a tax advice issue that is better handle by a tax adviser.

  3. What form should be submitted to the payroll office if an NRA changes immigration status?
    Form 1388 should be submitted.

  4. If the NRA has submitted an application for a SS card but has not received the card. Would the Payroll Office accept a letter from the Social Security Administration confirming that the NRA has applied for a SS# and withhold at 14% instead of at 30%?
    If the letter includes their name and the number, the Payroll Office will accept this.

  5. What forms need to be submitted to the Payroll Office for new NRA hires?
    According with the Payroll Web site, it is necessary to submit the following forms: I-9, W-4, and 1388.
