Paycheck and Advice of Deposit Explanation

 

  1. Advice of Deposit/Earnings Statement: A record notifying you of the direct deposit of your paycheck. Includes your earnings statement.

  2. Advice Number or Check Number: An identifying number for bank purposes. If you receive your pay by direct deposit, this is called an advice number. If you receive a check, this is the check number. Picture above is of an advice of deposit.

  3. MM/DD/YY--Payday Date: Indicates to which payday this earnings statement refers.

  4. Net Pay: Your take-home pay after reductions, taxes and deductions have been subtracted from your total pay (gross pay). The amount direct deposited into your account.

  5. Employee I.D. No./Name: Your identifying number and your name as they appear in the University of Washington's Payroll System. If incorrect, please contact your departmental payroll coordinator.

  6. Pay Period Ending: Last day of the pay period for which this paycheck is issued. Days worked the 1st through the 15th are paid on the 25th of the same month; days worked the 16th through the end of the month are paid on the 10th of the following month.

  7. Federal Tax Codes: The Federal Income Tax codes (for your withholding status) that you listed on your most recent W-4 on file at the Payroll Office.
    M=Married; S=Single
    Number of Allowances (00=None, 01=One, etc.)
  8. Home Department/Unit Number: The department (and its identifying budget number) to which your paycheck and other payroll documents are distributed. The unit number is also known as the payroll unit code.

  9. Gross Pay: Your total pay for this pay period before deductions, reductions and taxes have been subtracted.
    Gross Pay, Current: Gross pay for this pay period.
    Gross Pay, YTD: Gross pay for the year-to-date (beginning with your January 10th paycheck up to present).
  10. Reductions: Costs that are subtracted from your gross wages before your federal withholding tax is calculated. Examples are retirement plans, participation in the Voluntary Investment Program (VIP), Dependent Care Assistance, UPASS and parking, and health care insurance. See "Current Deductions" below.
    Reductions, Current: Reductions for this pay period.
    Reductions, YTD: Reductions for the year-to-date.
  11. Taxable Gross: The portion of your pay subject to federal withholding tax after reductions have been subtracted.
    Taxable Gross, Current: Taxable gross income for this pay period.
    Taxable Gross, YTD: Taxable gross income for the year-to-date.
  12. Taxes: Total amount of taxes withheld from your pay. This may include social security, medicare, and federal income tax. See "Current Deductions" below.

  13. Deductions: Money subtracted from your taxable gross resulting in your net (or take-home pay). These may include union deductions, faculty club, optional benefits. See "Current Deductions" below.

  14. Net Pay: Take-home pay after all your reductions, taxes, and deductions have been subtracted.

  15. Current Deductions: A breakdown of all reductions, taxes and deductions withheld from your paycheck for this pay period. Boxes 10, 12, and 13 include the total reductions, taxes, and deductions withheld for this pay period.

  16. Amount: Amount of each reduction, tax and deduction withheld from this paycheck.

  17. Type of Pay: The "Earning Types" for which you were paid this pay period, such as regular, overtime, hourly, shift differential.

  18. Distribution: Budget number to which each earning type was charged.

  19. Units: The number of work units (hours, call-backs) you were paid for each earning type.

  20. Gross Amount: The gross amount you earned under each earning type for this pay period.

  21. Year-to-Date Deductions/Amount: Description and amount of year-to-date deductions for W-2 reporting purposes.
