Learn what to expect when an employee in your department reaches a milestone anniversary:
UW Human Resources’ goal is for each employee celebrating a milestone anniversary to receive the award of their choice on time for their big day. You can assist us by maintaining a list of your employee’s milestone anniversaries in your department and verifying that you receive the appropriate award packets from your HR service award contact approximately one month prior to the anniversary.
The HR service award contact for your department will send you a packet for those staff members that show an upcoming milestone anniversary in our database. While the information in our database derives directly from OPUS and OWLS data, omissions can occur. Please refer to the list of milestone anniversaries in your department each month to ensure that your employees receive their service award packets on time.
Once you have received the award packet and verified that the information within is accurate, give the selection form (or lapel pin for five year anniversaries) to the employee’s supervisor for distribution to the employee. For 10+ year anniversaries, this should be done as quickly as possible so that the selection form can be processed and the employee’s award sent to you prior to the anniversary date.
For employees celebrating a 10+ year anniversary, they should complete the top side of the selection form, checking which award they would like to receive. They will have the option to choose from a number of gifts, gift certificates for either a UW athletic event or UW performing arts event, Husky dollars, or to donate the value of their award to a UW fund of their choice.
The selection form should be returned to you for prompt processing. Please ensure that your name, box number and complete physical delivery address is filled out for ALL award choices. Forms should be sent to your HR service award contact.
You should receive the employee’s award within 7 to 10 business days. Prior to presenting the award to the employee, please verify that the award is what the employee selected. Return the original packing slip to Human Resources Administration, Box 354554; note: if the employee’s name is not already printed on the packing slip, please add it prior to sending the slip to HR.
The rest is up to you, your employee’s supervisor and your department. This is a very special time, so have fun with it!
