University of Washington employees whose annual leave accrual rate is based on the length of eligible state service can request credit toward a higher leave accrual rate for previous employment at Washington state agencies and Washington state public institutions of higher education, including the UW. Employment at a public educational service district does not count towards the leave accrual rate. Employees must have a total of at least 48 months qualifying past and current employment before the annual leave accrual rate is adjusted.
Annual and Sick Leave Transfer - Employees who work for another Washington state public institution of higher education, or for another Washington state agency, are eligible to have their current qualifying annual and sick leave balances transferred to the University of Washington when they accept University of Washington employment without a break in service.
Transfer of Sick Leave Only - Employees who work for a public educational service district are eligible to have their current qualifying sick leave balances transferred to the University of Washington when they accept University of Washington employment without a break in service.
Sick Leave Reinstatement - UW Employees who formerly worked for the University of Washington, for another Washington state public institution of higher education, or for another Washington state agency, and who are hired into a classified non-union, a contract classified, a professional staff, or librarian position are eligible to have their previous sick leave balance reinstated as follows:
If you are newly hired into a UW position from another Washington state public institution of higher education, another Washington state agency, or an educational service district, or if you have previous Washington state or University of Washington employment, take the following steps to request leave accrual rate credit for your qualifying employment and/or to request that you be credited with qualifying leave balances from your former employer.
After receiving the completed request, Human Resources staff will verify your eligibility, and send a copy of the finalized crediting form to you and your department's leave record keeper.
After you receive notice that your request for previous service credit has been authorized (including leave transfer is requested), contact your department's timekeeper to be sure that your work/leave record is adjusted to accurately reflect the information on the completed crediting form.
The crediting form is a supporting document, and must be filed and retained according to the retention schedule. If you are not eligible for crediting at the time the form is submitted, the form will indicate when the request may be resubmitted.
