Basic Functions

Perform office management and complex administrative support for the administrative head of an organizational unit or department.

Distinguishing Characteristics

Under general direction, perform complex administrative support to the administrative head of an organizational unit or department. Independently perform administrative work such as projecting, monitoring, maintaining and approving expenditures on the organization's budget; providing executive secretarial support to the administrative head of the unit; coordinating special projects, and coordinating processes related to faculty recruitment, appointment, promotion and tenure.

This classification differs from the secretary series because the majority of work is administrative support to the head of a unit or department rather than clerical duties and responsibilities.

Typical Work

Administer the operations budget for the office, including approval of expenditures; monitor budgets of various grants and other funding sources to ensure alignment with budgeting requirements and approve expenditures;

Assist administrative head in development of organizational budgets, contracts, and grant proposals; monitor compliance with institutional policy and applicable laws and regulations;

Plan and coordinate special projects including those related to budget, payroll, grants or WEB products;

Assist administrative head, keep plans current on databases, communicate with faculty and coordinate University-wide processes such as faculty reporting, payroll, and travel;

Provide administrative support to the administrative head of the unit or department in such areas as planning curriculum, coordinating and scheduling meetings, managing data bases, and developing statistical data and/or spreadsheets;

Oversee and/or execute office operations including: ordering furniture, supplies, and equipment within department guidelines, coordinating office moves, orienting and training staff, updating and developing office policies and procedures, and establishing quality controls for office operations to ensure efficiency;

Direct and/or support activities in relation to unit's established goals and objectives including researching, collecting and preparing information and reports;

Coordinate faculty recruitment, selection, appointment, promotion and tenure processes;

Perform executive secretarial support to the administrative head and direct the work of others;

Attend meetings and/or conferences as department representative;

Perform related duties as assigned.

MINIMUM QUALIFICATIONS - UW Contract Classified
DESIRABLE QUALIFICATIONS - Classified Non-Union

High school graduation or equivalent AND two years of experience in administrative support, overseeing and executing office operations

or

equivalent education/experience.
