Global Support Project Newsletter

Issue #2 - Winter 2008

This is the second newsletter from the Global Support Project—the university’s initiative to improve operational support for global education and research. This issue of the newsletter includes information about the following exciting developments:

New and Improved Global Operations Support Website!

We are very pleased to announce the project has renamed and revised its website to provide expanded information on global operations. The new site, Global Operations Support, also provides resources such as flowcharts and checklists to help manage operations. Contact information for each topic is available for further consultation. Check out the site at http://www.washington.edu/admin/finmgmt/globalsupport/.

Send any comments about the website to Kate Riley, GSP project manager, 206.616.1603, kater@u.washington.edu.

Field Advance Improvements

The field advance process has been made more user-friendly. Beginning February 2008, custodians now have 30 days to reconcile an advance. A new, semi-automated spreadsheet is available which makes reconciling much simpler. The request forms have been streamlined. Check out the new field advance website at http://www.washington.edu/admin/ finserv/bankops/fieldadv.html.

For additional information about the new process, please contact Mark Centuori, mjc2@u.washington.edu, or 206-543-8822.

Paying Foreign Nationals

Paying foreign nationals at the UW is taxing, as anyone knows who’s tried to do it. A new website has been created to make the process more understandable and easier to navigate. Visit the site, Foreign National Payments and Tax, in the Global Operations Support website, http://www.washington.edu/admin/ finmgmt/globalsupport/ for more information, including contacts.

International Hiring

Hiring foreign nationals as UW employees to work at a UW site abroad can be quite an undertaking. Resources are now available that can help in planning to the way. General information can be found at: http://www.washington.edu/admin/ finmgmt/globalsupport/hiring.abroad.html

Additional questions may be directed to Michael Campbell, Employment Manager, Human Resources Operations, at 206.685.2845, or mpcmpbll@u.washington.edu

Paying Sub-contractors in Advance of an Award

When foreign sub-contractors are cash-strapped, meeting timelines at the start of a grant can be difficult. A team led by Financial Services has developed draft policy and procedures to advance funds under specific criteria. A pilot study is planned for April 2008. Look for more details on the Global Operations Support website in late spring.

Tracking Huskies (Faculty, Staff and Students) Studying and Working Abroad

The UW has activities in over 100 countries on all continents. That’s truly amazing! So what’s the problem? There’s no way to know specifically who is where. The need for comprehensive data on what folks are up to has been highlighted by faculty, staff and administrators since the beginning of our project. Further, the lack of coordinated information was highlighted this month in assessing operations in Kenya. A cross-campus team led by Daren Wade, Director, Global Health Resource Center, Department of Global Health, is conducting a scoping study to identify what information currently exists and to recommend how the UW might better track global activity. The report is due in late summer 2008.

Phase II is Launched – Global Education

The GSP has launched Phase II of our work-improving administrative support for global education. The immediate focus will be strengthening the university’s safety and risk management policies and procedures for global programs. As in Phase I, we will again be conducting a series of focus groups to identify issues that concern faculty, staff and students. The discussion session will be held this spring. If you’d like to participate, contact Kate Riley, GSP project manager, 206.616.1603, kater@u.washington.edu.
