The following reports have been created in partnership with the ISC to aide campus partners auditing academic personnel data. We recommend that campus partners run these reports monthly to ensure that your academic personnel data is up-to-date, accurate, and complete.

Consolidated Audit Reports

R0662: Academic Appointment Data Issues Summary
This report identifies data issues associated with academic appointments in Workday. It consolidates the outputs of the following reports: R0343, R0344, R0361, R0630, R0658, R0686, R0679, and R0721.

R0716.1: Academic Personnel Census Academic Appointment Audit
This report identifies academic appointments with data issues that may impact the AP Census. It consolidates the outputs of the following reports: R0343, R0344, R0612, R0630, and R0679.

R0716.2: Academic Personnel Census Position Issues
This report identifies positions in the 01 – Academic Personnel job family group with data issues that may impact the AP Census. It consolidates the outputs of the following reports: R0469 and R0663.

R0722: Academic Promotion/Tenure Data Issues
This report identifies data issues for academic personnel in promotion eligible ranks that need to be addressed prior to submitting a promotion/award of tenure case. It consolidates the outputs of the following reports: R0650, R0721, R0686, R0630, R0663, R0707, and R0689.

Issue Specific Audit Reports

R0321: Upcoming End Employment Dates 
This report includes all positions with end employment dates between user-selected dates, which have not been ended through a termination.

R0343: Appointments Without Valid Appointment Identifiers
This report includes all currently active academic appointments assigned an identifier that is not valid for the track type of the appointment.

R0344: Appointments in Non-Academic Appointing Units
This report includes all currently active academic appointments in academic units that are not valid for the track type of the appointment.

R0361: Expired & Expiring Academic Appointments
This report includes all academic appointments with end dates in the past or in the next 90 days that have not been ended.

R0469: Academic Workers Without Primary Academic Appointments
This report includes all academic personnel with an active (non-terminated) position on the user-selected date who do not have a primary academic appointment on that selected date.

R0612: Academic Appointees without Active Positions 
This report includes all individuals with an academic appointment as of the user-selected date who do not have an active position as of the selected date.

R0613: Upcoming Postdoctoral Scholar Required Compensation Changes
Please be aware that access to the Workday report R0613, Upcoming Postdoctoral Scholar Required Compensation Changes, has been temporarily removed.

To identify the Postdoctoral Scholars in your unit who are due for an increase please use the process outlined in the Upcoming Postdoctoral Scholar Required Compensation Changes Job Aid.

We anticipate that access will be restored once the necessary corrections have been made.

R0623: Academic Positions with Invalid Service Periods
This report identifies academic personnel whose service period does not align with their job profile or their school, college, or campus. The correct service periods are described on the Service Periods page.

R0630: Invalid Appointment End Dates
This report identifies those appointments that have invalid end dates. Appointments should be ended if they are no longer active, or updated to correct or extent the appointment end date. Maximum appointment terms are included in Sextant.

R0650: Academic Personnel with an Invalid Primary Academic Rank
This report identifies academic personnel whose primary academic rank is not valid given their job profile. Valid academic ranks for each job profile (and vice versa) are included in Sextant.

R0658: Appointments Missing Academic Review Dates
This report identifies academic appointments requiring review in the second or third year that don’t have the date of that review (the “Academic Review Date” in Workday) populated. This value needs to be populated for all academic appointments where the review has not yet occurred.

R0659: Academic Salaries Below UW Minimum
This report identifies academic personnel whose monthly base rate is below the minimum for their rank. The minimums for UW academic personnel can be found on the Salary Minimums page.

R0663: Invalid Academic Position End Dates
This report identifies those positions in the 01 – Academic Personnel job family group that have invalid end employment dates.

R0679: Invalid Roster Percent Audit
This report identifies academic appointments that are missing the roster percent value, or that have a roster percent below 50%. Only primary appointments in track types ineligible for unpaid status are included.

R0686: Waiver Year Actions without Waiver Year Entries
This report identifies academic appointments that were updated using a “waiver year” reason code following the addition of the Waiver Year custom object, but do not have any waiver years indicated. These appointments will need to be updated again to complete the entry of the waiver year. Please see step 7 of the Update Academic Appointment user guide for detailed instructions on how to complete this task.

R0689: Academic Personnel Missing Education History This report identifies academic personnel without an Education History entered in Workday. Instructions for how to enter education history can be found in the Manage Education – Academic Personnel user guide.

R0702: Missing & Invalid Postdoc Anniversary Dates
This report identifies postdoctoral scholars who do not have a Postdoctoral Scholar Anniversary Date entered in Workday, or whose Postdoctoral Scholar Anniversary Date is invalid given their current appointment start date. This date is required for all postdoctoral scholars. Instructions for how to enter the date can be found in the Change Job – Postdoctoral Scholar user guide.

R0707: Academic FTE/Roster Percent/Tenure Value Audit
This report identifies academic personnel with a data issue related to FTE, Roster Percent, or Tenure Value. Academic appointments or positions with invalid entries will need to be updated to reflect the correct values.

R0708: Invalid Compensation Grade for Job Profile (Academic Only)
This report identifies academic personnel with invalid compensation grades based on their job profile. Compensation plans with invalid compensation grades need to be corrected in Workday.

R0708.1: Invalid Compensation Grade Profile for Academic Personnel
This report identifies faculty and postdoctoral scholars with an invalid compensation grade profile based on their service period or estimated months of experience as a postdoctoral scholar. Compensation plans with invalid compensation grade profiles need to be corrected in Workday.

R0709: Academic Personnel with an Invalid Employee Type
This report identifies academic personnel with invalid employee type based on their job profile. Valid employee types are identified in Sextant. Positions should be updated to correct values in Workday.

R0721: Secondary Appointments with Invalid Ranks
This report identifies secondary academic appointments with a rank that is invalid given the academic rank of the current primary academic appointment. Valid secondary ranks are identified in Sextant. Appointments should be updated to correct values, or ended if no longer active.

R0749: Post-Sabbatical Service Obligation Audit
This report identifies academic personnel who have returned from a sabbatical leave and describes the status of their return to service obligation. More information about return to service obligations can be found on the Sabbatical Leave page.
